A Strong E-Signature Tool with A Great Price for Unlimited Users

To see how it performs in real use, I tested all the features that matter most in day-to-day document signing workflows!

Dashboard

In the course of my SignNow review, I realized it doesn’t have a traditional dashboard. Instead, the home screen opens on the Documents page. The main area is basically a working list of your files.

From here, you can quickly see your documents and their status, and you also get practical filters. I liked that it’s very action-first: every document has quick buttons like Invite to Sign, Create Invite Link, or Make Template, so you can start the signing process right away.

It’s also easy to keep things organized. You can create folders and group documents, which is a lifesaver if you’re working with a lot of files and clients. And in general, most things you’ll want to do are one click away from this screen.

SignNow keeps your personal signing details inside Settings → User Profile. That’s where you can add necessary data like your name, address, but also your signature, initials, and a stamp.

Unlike most other digital signature tools, SignNow lets you save multiple electronic & digital signatures, initials, and stamps. This option adds flexibility if you use different versions for different document types.

When it comes to creating your signature, you have the standard options: you can type it, draw it, or pick one of the pre-made styles. It’s quick to set up, and once it’s saved, you can insert it into documents in a couple of clicks.

You also don’t have to set it up in advance, since SignNow lets you create your signature and initials while you are signing or preparing a document.

Preparing documents

To get a document signed, you can upload a file from your device, import it via URL, pull it from cloud storage, or choose one from the Forms Library. You can also add files in bulk, and creating documents is simple.

The Forms Library is fairly large, with thousands of templates (including legal, labor, and tax forms). You can edit templates, fill them out, or send them right away. You can also save any uploaded document as a template or create one from scratch.

After uploading, you can add recipients by entering their email addresses or selecting them from your contacts. SignNow lets you add multiple recipients, assign different roles (like signer or approver), and include CC recipients. You can also edit the recipient list later and set the signing order.

Once that part is done, the editor opens. Here, you choose the recipient you want to assign fields to, then drag and drop the fields directly onto the document. You get all the standard options (full name, text, date, time, signature, stamp, etc.), but you can also create custom fields and even import fields from other documents.

One feature that genuinely saved me time was the automatic field placement. SignNow can suggest and place fields for you, and in my testing it worked well most of the time. It was not perfect, but it usually got the structure right and only missed a few fields occasionally.

One useful addition is the ability to insert an invoice module directly inside the editor. You can add invoice-specific fields such as item name, price, quantity, tax, discount, subtotal, and even select the invoice currency.

This makes SignNow more than just a basic e-sign tool, especially if you need to send simple invoices together with signing requests.

After preparing documents, you can preview them and then move to the final sending step. From there, you can set reminders and expiration dates, add a payment request, write a custom message, and choose how to send the document (email, SMS, or signing link).

A very nice touch is that you can schedule the invite by picking the exact date and time when it will be sent.

You can also apply branding and adjust what happens after completion. I also liked that SignNow shows a practical preview and lets you switch the view by recipient, which makes it easier to double-check that each person sees the right fields.

Overall, I found that during my SignNow review, the whole process is straightforward, fast, and easy to follow.

Contacts

SignNow has a built-in Contacts section, and it is more useful than a basic email list. The minimum you need to save a contact is an email address, which is great for quick setup, but you can add much more later (first and last name, phone, company info, job title, full address, and a short description).

I also liked that SignNow supports bulk contact import via CSV, as long as the file includes email addresses. If you already have a client list, this saves a lot of manual work. You can also import contacts from Google, which makes setup even faster if your workflow already lives in Google tools.

Once you open a contact, SignNow shows a full contact profile with tabs for All Activity, Documents, and Notes, so you can track what was sent to that person and what is still pending without jumping back to the main Documents page.

Another useful detail is contact-level collaboration. You can share a contact with teammates and choose access permissions like Can View or Can Edit and Send. That makes the Contacts section more like a lightweight CRM layer inside SignNow.

Team management

I noticed that throughout my SignNow review, it also offers solid team collaboration features. It looks genuinely useful if multiple users handle contracts in the same workflow. Instead of everyone working from separate personal folders, you can create a team, invite members, and use shared spaces for documents and templates.

What makes it more practical is that it includes admin-level controls, not just shared access. Admins can manage members, add another team admin, remove users, track documents, and even transfer document ownership when needed.

I did not test this part deeply in my own documents signing workflow, but from what SignNow shows, it is clearly built for teams that need structure and oversight, not just basic e-signing.

Reports

SignNow’s Reports section is surprisingly solid, and it provides more than a simple “signed / not signed” view. It gives you a clear overview of document activity across the workspace, including sent, pending, completed, and expired items, along with sender and recipient details.

What I liked here is that reporting is separated into a few layers. You get a Workspace Analytics view for quick performance metrics (like sent invites, completion rate, completion time, templates created, and documents created), a Leaderboard view for team/member performance, and then more detailed report tables for documents and templates.

The detailed reports are the most practical part for day-to-day tracking. You can filter by date, apply filters, sort the data, and export reports. In the documents report, for example, you can see document names, status, sender, recipient email, and sent date/time in one place.

Other features

SignNow also has a few extra features that are worth mentioning because they can matter in real business workflows.

One is branding: you can customize signature invites and emails with your company branding (logo, and even branded email styling/footer options), which helps if you want client-facing documents to look more professional and consistent. However, this feature is available only on higher-tier plans.

Another one is fax support, which is a niche but still relevant in some industries. SignNow supports fax-related sending workflows (including from document groups), so if you still deal with partners or institutions that rely on fax, you can handle that inside the same document process.

There is also notarization. I did not test this myself, but SignNow offers remote notary/notarization workflows. That will not matter for every team, but it is a strong extra if your documents require notarization.

As I already mentioned, SignNow is action-first based. The interface is minimal and focused on actions rather than visuals. It is intuitive and user-friendly, which makes it easy and fast to move around.

My experience with SignNow

My experience with SignNow was very positive overall. It is not the most visually polished e-sign tool I have used, but it is fast, practical, and easy to work with.

Most steps are quick and easy to find, from uploading documents to preparing fields, adding recipients, and sending invites. It saved me time in a few places too, especially with automatic field placement and the option to schedule invites.

After the trial, you can choose between four paid plans.

The Business Plan, at $8/user/month with annual billing, is best for basic e-sign workflows. It includes core document signing, required fields, unlimited templates, mobile app access, multiple languages, and cloud storage integrations.

For teams, there’s The Business Premium Plan that adds bulk sending, signing link invites, document groups, reminders/notifications, and payment requests. It costs $15/user/month, billed annually.

The Enterprise Plan is aimed at larger organizations as it adds more advanced controls like advanced threat protection, signer attachments, conditional documents/fields, and smart fillable fields. It’s $30/user/month with annual billing.

There is also a Site License plan priced at $1.50 per signature invite, which is the pricing model tied to SignNow’s “unlimited users” positioning. Instead of paying per seat, you pay per signature invite, and you get the extras like full API access, CRM/ERP integrations, and stronger compliance options.

One very important thing to keep in mind is that, while SignNow allows unlimited users, it comes with a limit of 100 eSignature invites per year. After that, the service switches to a pay-as-you-go model.
