Project management solution

One of the key differences between Motion and most productivity apps is that Motion is an all-in-one tool. This is where I see similarities to Notion and even ClickUp.

Motion is a special player in the project management space. While being a calendar tool primarily, it also works as a lightweight project management software that has all the tools to organize projects. Motion’s project manager tool works similarly to the task manager feature.

When setting up a project, you can specify the due date, add priority notes, and assign tasks to your team members. Additionally, you and your teammates can leave comments under each project and add new tasks if necessary.

It was also great that Motion offers several view options like Gantt chart, Kanban boards, and list views. These views are helpful in creating project timelines or tracking progress. Also, you can apply filters and easily select, move, edit, or manage projects.

After you add the tasks, Motion will take it from here and schedule the tasks using its AI task management features. So, after you add a project, it makes sense to check your Motion calendar to see the upcoming tasks.

Going back to my calendar, Motion updated it with the new tasks. It found the empty timeslots based on my preferences and automatically scheduled all the tasks. Compared to many project management tools, Motion not only helps you with the project management itself but also ensures that you will complete the tasks on time.

Motion’s project management feature has all the functions to manage small business projects and workflows. Essentially, the more projects and tasks you give, the more accurate your schedule will become.

Overall, using Motion for your project management can almost entirely automate your project planning, and you can focus on the tasks.

Motion’s task management feature is a powerful tool for developing more efficient tasks and time management. It allows you to smoothly add and assign new tasks to you or your teammates, while the tasks dashboard provides a clear overview of tasks in progress and those that have not been completed yet.

Having a customizable central hub for your tasks can make your life easier. You can overview your outstanding tasks and projects on a list or in a board view.

When adding a task, you can select the assignee, priority, duration, start date, due date, and when to auto-schedule it.

What I recognized during my Motion app review is that you can add tasks from almost all the pages. It is a small feature, but quite useful to ensure you add and manage tasks with the highest efficiency.

We all know there are times when it is all about firefighting. You need to jump in an important Google Meet or Microsoft Teams call, or simply some important tasks come up. With a single click, Motion’s automatic scheduling reorganizes your tasks based on your preferences and priorities.

An automated task manager like Motion can boost your productivity in many ways and help in your personal task management. Beyond helping you manage and track your focus time and tasks effectively, it simplifies task creation, prioritization, and time tracking and fosters team collaboration.

Team collaboration

Motion has strong team collaboration features as well compared to other calendar or productivity apps. You can track each team member’s plan and priorities using the team schedule feature.

It is also great that they designed Motion for teams. So, whenever you add a project, you can assign tasks and communicate on the same page.

Nevertheless, Asana has more advanced team communication and collaboration tools.

Motion calendar

Managing your personal and work tasks across different calendars, like Gmail and Outlook, can get pretty challenging. However, Motion offers seamless calendar integration, allowing you to bring your Google Calendar, Apple Calendar, and Outlook Calendar together into a single view.

If you go to settings and click on the “calendars” tab, you can add your calendars with just one click. It is super easy.

Bringing your calendar management into one tool is really efficient. You not only see your personal and work calendar items simultaneously, but you also plan your weekly to-do list much easier and add calendar events smoothly.

The best thing is that you can just drag and drop your events or personal tasks to move them, and you can create tasks from this view as well.

Automated scheduling

Motion is an efficient task management solution that not only integrates your calendar events into one single place but also uses AI scheduling to ensure you can meet all the deadlines and focus on high-priority tasks.

You can create tasks using your calendar view, and you can also make changes here. Personally, I used the “all task tab” to manage tasks. Once you create the task, Motion AI automatically schedules tasks based on your availability, priorities, and settings.

During my Motion review, I found the task scheduling to be the most exciting one. The smart scheduling feature is useful for loading your tasks in the task hub, and it lets Motion find the best timeslot to complete them.

Nevertheless, before scheduling tasks, it makes sense to add your working hours, timeslots for personal activities, and more. You can do this in the settings menu using the schedules option.

If your task takes more time than you think, and you have no time to finish it or other tasks, Motion will reschedule based on your priorities, deep work hours, preferences, and personal events. Essentially, these are among the most important factors in Motion’s task prioritization.

Motion designed its auto-scheduling feature based on how the most productive people work daily. However, if Motion schedules your tasks to an ideal time, you can just simply drag and drop, and Motion will learn from it.

Motion’s meeting scheduler helps you and others to book time with you. Motion uses booking links to simplify appointment scheduling.

To access the booking link feature, hit the “booking links” option at the top. Here, you can select which booking link you want to send, but you can also make changes when it should show you as available.

For example, I prepared a new schedule for me called “Meetings,” and Motion will only show the timeslots I gave in this schedule. However, you can customize it in more detail.

You can add buffer time and date range or limit the number of days for the meetings. Once you finish the customization, you can just share the link, and they can access your booking page.

Overall, the meeting scheduler feature assists you with automatic scheduling, limiting the daily meetings, and displaying preferred meeting times to others. I particularly loved during my Motrion app review that it offers many options to personalize your booking page.

Ultimately, this is a valuable feature for virtual meetings, as it eliminates the constant back-and-forth communication and helps find a suitable time slot for virtual meetings.

Your home dashboard gives you a quick overview of your tasks and projects. Under the “Good morning, Aron” part, you can filter your monthly or weekly tasks.

Also, you have the option to see only the upcoming, overdue, or completed tasks for a more focused view. I enjoyed that Asana offers customization options for your dashboard, so you can track your most critical tasks.

You can drag and drop the cards, move them around, change the background color, and add widgets like notepad, Asana AI, or comments mentioning me. While you might not have infinite options to customize your home page, you can put the workflows you need here.

On the top, you will access a search bar, which is quite useful for quickly accessing specific tasks or projects in your workspace. You can use this search bar on every page of Asana.

Project management tools

Asana has robust project management features compared to Notion. Using this project management tool, you can create projects in a few minutes. You only need to add the essential information, such as due dates or team members, to get started. Furthermore, you can accelerate the process by using the Asana intelligence (AI) tool.

When creating projects, Asana offers some templates that you can use. There are templates for marketing, IT, sales, and product teams. When using a template, you have no further to do, just to change the example tasks and their parameters.

The heart of your project management is the project views. You can choose from numerous view options like Gantt charts, kanban boards, workflow, lists, calendar views, etc.

The project overview provides you with some essential information about the specific projects. On the right side, you can ask Asana’s AI tool to summarize what happened on this project lately.

While other project management software also has AI tools, I found this helpful since you can generate a report with one click.

You can change between the project views with a click, although some view options took time to load. If you click on the “+” icon, you will access some additional view options, such as a workload view, which is quite valuable for resource planning.

It is also worth mentioning that Asana offers a portfolio feature that provides a holistic view of all your projects in one place. You can create more portfolios and decide which projects you want to involve in each portfolio.

Task management tools

No matter which project views you use, you can easily add new tasks. When you click on the task, you can edit, change due dates, assignees, and leave comments.

It is great that you can add recurring tasks in Asana. You can change the frequency of the task, and it will pop up based on your instructions.

Although this is a small thing, it saves you from constantly adding repetitive tasks.

Overall, Asana’s task management tool is quite easy to use, and you can easily track progress on your home page.

Collaboration tools

As mentioned earlier, you can add task comments, but you can also leave comments under the project view. Such communication tools are useful when you have a more general comment regarding your project rather than a task-specific one.

In the top right corner, you can share projects with your team members. You can also change the access level and user permissions so you can choose whether everyone inside your organization should see the project or only those who received an invite.

Among the view options, you will find the “files.” By clicking on it, you can drag and drop files to share them with your team members inside the project. If you want to attach a file only to a task, that is not a problem, you can do it inside the task.

Another exciting feature I discovered during my Asana review is the collaborators. When you assign tasks to your team members, you can also add collaborators. Collaborators can work actively on a task and track how the task is going.

Rules

Asana’s automation builder tool is called Rules. You can access this tool under the customize options inside your projects.

There are rules for automation, but you can also create custom rules. Similarly to other project management tools, it follows the “when” and “then” logic. It is also great that you can use Asana AI here to help you set up your own rules.

To access this feature, click on the AI icon at the top right corner. Essentially, this tool helps you obtain the project data or information you need and answers your questions.

Based on my experience, it works pretty fast, and it is also useful to include references from your projects.

When it comes to the outputs, I got relevant and quite good answers from Asana’s AI assistant. So, overall, I was satisfied with this feature.

Goals

You can add three types of goals in Asana. First, there are company goals that focus on your business’s mission, priorities, and objectives.

Second, there are team goals. These goals are created by different teams to support company goals and other teams’ goals. Lastly, there are my goals. These objectives focus on your performance and aims.

This tool helps you track your key objectives and gives you a fantastic overview of how your goals are connected to each other. You can connect your goals, leave comments under them, and add owners.

Honestly, this feature was one of my favorites during my Asana review.

User interface

Motion’s user interface

Motion has a simple user interface. I would not call it beautiful, but rather practical. You can easily navigate on its pages, and it is easy to find its tools.

Compared to Reclaim AI, Motion has a less intuitive user interface, and maybe it would be great if there were more colors. Nevertheless, I appreciated the option to change between numerous themes.

Asana’s user interface

Asana has a user-friendly interface. You can easily navigate among its features, and you can quickly find all the tools you need.

The learning curve is relatively short compared to many other project management tools. There are two reasons behind this.

First, Asana’s user-friendly interface helps you find all the features smoothly. Second, Asana has fewer features than some other tools, such as ClickUp.

Integrations

Motion’s integrations

Motion offers numerous integrations. You can connect it with Google Calendar, Outlook Calendar, iCloud Calendar, Siri, Zapier, and more.

Utilizing the Zapier integration, you can access an additional 7,000 third-party apps. So, Motion is quite good in terms of integrations.

Asana’s integrations

Asana offers many third-party integrations like Google Calendar, Microsoft Teams, and more. Furthermore, you can connect Asana with Zapier, so you can access an additional +7,000 third-party apps.

Pricing

Here, I will show you both productivity apps’ pricing models to see which one is better in the Asana vs Motion comparison.

Motion’s pricing

Motion has the following pricing structure with a one-week free trial.

There is a significant difference between the annual and the monthly plan. While the individual plan is $19, if you opt for the annual plan, the monthly plan will cost you $34 per month.

Therefore, if you decide to commit to Motion after the free trial, it’s definitely more cost-effective to choose the annual plan.

The individual plan includes all the features I showed you before. So, you can access the scheduling tool, meeting assistant, task, and project management features.

Compared to other scheduling tools, it might seem expensive. However, it is worth mentioning that Motion is more than just a scheduling app. It can effectively replace task management and project management tools.

The Business Standard plan is $12 per month per user if picking the annual plan. In terms of features, the main difference between individual and team plans is the collaboration tools.

Furthermore, Motion offers a Business Pro plan as well for teams of 15 users or more. Motion applies customized pricing here.

Asana’s pricing

Personal Plan (i.e. Free Plan)

Asana’s Free Plan includes some of the most essential features like projects, tasks, activity logs, storage, and comments. With the free Plan, you can access the list, board, and calendar views, a few integrations for your workflow builder, and basic reporting tools.

Compared to other project management tools free plans, I would say Asana has a decent one, and it is ideal for personal use.

Starter Plan

Asana’s Starter plan is $10.99 per month if you choose the annual billing. It covers all the features in the Free Plan, plus a list, board, calendar, timeline, and Gantt views. Furthermore, you will access Asana’s AI tool, advanced integrations, and scaled security.

It is ideal for small teams and individuals, BUT here is the problem with Asana’s paid plans. There is no single-user subscription, and you will charged for at least two seats without clear notice from Asana.

When I read the user reports, I did not believe them first, so I also checked them for myself. I also ran into the same issue when I tried to upgrade my Plan.

Moreover, the default setting for your Plan is for 5 seats. So, if you do not check the details, you can easily buy the Starter plan for 5 seats.

So, if you want to use Asana alone, the Starter Plan is actually $21.98 if you opt for the annual billing.

Advanced Plan

You can get Asana’s Advanced Plan for $24.99 in case of annual billing. Besides the features included in the Starter plan, you can use five project views, portfolios, goals, advanced reporting, and resource management tools. These features make Asana ideal for teams.

Asana’s pricing mechanic works the same here, so you can purchase two seats at a minimum for $49.98, which makes this project management tool one of the most expensive on the market.

So, if you are not careful, you can easily spend an extra $300/year for nothing!

Enterprise Plan

Lastly, Asana offers Enterprise and Enterprise + plans for larger teams and businesses. Here, they apply custom pricing.

My experience with Motion

During the Motion app review, the first thing that came up was that the navigation was pretty straightforward. It was also easy to locate all the key features and start using them.

However, I would say it has a steep learning curve compared to most of the productivity tools. For example, it took me 10-15 minutes to set up my booking page and find all the relevant options for this.

The good news is there are many tutorial videos and articles, so you do not have to find the solution for all your issues.

I will divide my experience with Asana into two parts. In the first part, I will discuss only its project management tools. In the second part, I will also share my feelings about its pricing and other red flags.

Starting with the features, I loved the simplicity of working with Asana. It has a user-friendly interface and a short learning curve. While it does not have too many project management tools compared to other apps, it has all the features you need even to manage large teams.

It was great that I could use multiple project views and easily customize them. The goals feature is also very useful, especially for teams.

Now, let’s discuss the red flags I discovered during my Asana review.

Asana’s pricing methodology is not fair. There are many negative user reports on this issue, and they have not been changed. While I did not fall for this, many people did and requested a refund.

The most surprising thing was that all of these reports say that Asana denied the request for a refund. So, it is a huge red flag for me.

Furthermore, I have read many negative reports about Asana’s customer support. Many Asana users who had issues were ghosted multiple times before they finally replied and solved the problem.

Bad customer support means another red flag for me.

On the other hand, I also had some small issues with Motion. The biggest con for me is that Motion has no free plan with limited features. I understand many of you are just looking for a free scheduling tool without needing the project or task management tools. For those, Motion might not be the best alternative.

Also, while Motion is an artificial intelligence-based tool, I did not find the AI features to be that massive. The auto-scheduling feature works fine, but apart from this, there are no other AI capabilities built into Motion.
