What is Clockify?

Clockify is a time tracker and timesheet app that is used by millions of people. It is a pretty versatile app, as it offers a desktop app for Windows and Mac. Also, it has web and mobile apps for Android and iOS.
It offers numerous features besides time tracking, such as project management, reporting, invoicing, expense management, etc.
While Clockify and Toggl Track seem very similar at first glance, there are some significant differences in terms of features.
So, if you want to see how these two time tracking tools stack up against each other, keep scrolling.
Detailed comparison: Toggl vs Clockify
First, I will guide you through the features of both time tracking apps one by one. Second, I will show their user interfaces, integration options, pricing, and my overall experience when using them. Lastly, I will show you the pros and cons of Toggl and Clockify and their alternatives and reveal my pick.
Key features
Let’s start with Toggl Track’s key features!
Toggl Track’s key features
Here, I guide you through all the key features I tried when testing Toggl Track.
Automated time tracking

If using the desktop app, you can utilize Toggl Track’s automated time tracking feature. You can easily switch between apps, websites, and documents without manually logging time entries.
And the question that many of you ask: Does automatic time tracking mean that my boss can spy on me?
Nope, Toggl Track is 100% private, which means there are no screenshots, mouse tracking, or any other invasive employee surveillance features. In addition to this, you can choose which activities you want to share with others, so it’s really about improving productivity.

When opening a window, you get a notification to start a project time entry, and Toggl Track will capture the time spent with that specific project.
Furthermore, you can automatically track selected pages with Chrome extensions when setting up the integrations. Just enable the pages you want to track, and Toggl Track will automatically record the time spent on those pages.
During my Toggl Track review, I had a positive experience with its automated time tracking feature. Based on my experience, it made a positive impact on my time management and saved a significant amount of time, as you no longer need to record manual time entries.
Timer

Toggl Track offers offline time tracking functions through its desktop and mobile apps. Just a heads-up: when testing Toggl Track, I mostly used the web app.
If you go to the “Timer” tab on the left, you can easily access Toggl Track’s timer feature. It works pretty simply; you only need to add a description, add a tag or a project, select whether it is billable or not, and you are ready to go. Once you finish the task, you only need to hit the stop button, and that’s it.
I also love Toggl Track’s calendar view and the small line above it representing the projects I worked on that day. It’s a small feature, but I found it really useful during my Toggl Track review.

An additional way to start time tracking is to use the browser extension. You can access this option under your extensions. Here, Toggl Track allows you to use the Pomodoro timer, which is pretty helpful in day-to-day work.

If you did not use the automatic time tracking and forgot to start the timer, you can manually add the time entries in your calendar view.
Ultimately, Toggl Track’s timer is an accessible feature and helps you to smoothly track the exact time your team spends on projects, tasks, and other activities.
Projects and clients

Using Toggl Track, you can create projects and clients. With these features, you can easily track project profitability, the time spent on tasks, clients, and teams.
It is also great that you can filter on a specific project, team member, client, or whether it is billable or not. This offers a quick picture of your projects with the most crucial data.

If you select one of the projects, you can gain insight into the hours worked on the specific project. You can also access the team members who worked on it and what tasks they performed relating to this project.
Such features allow you to track time spent across multiple projects, clients, and teams. Also, Toggl Track works as a lightweight task management app for your team.
To summarize, I was satisfied with Toggl Track’s task and project management features. What stood out most was how simple and intuitive everything felt, making it easy to get started without a steep learning curve.
Compared to Clockify, I felt that Toggl Track offers more robust team management tools, so you can effectively manage multiple teams.
Timesheet

You can use Toggl Track to set up automatic timesheet creation from the tracked time. For this, you can select the team member, approver, and period. Currently, Toggl Track only allows weekly frequency, but soon they will release the monthly.

The timesheet itself is pretty simple. It collects your tracked time and structures it based on projects. In the top right corner of your screen, you can submit and approve timesheets.
Invoicing

Toggl Track offers an invoicing feature as well. With this feature, you can capture every billable hour worked across your entire team.
It directly prepares the invoice from the reporting tab if you hit the download icon and the “create invoice” option. With this feature, you can add all the information you need for client billing, including due date, address, purchase order, and so on.
Essentially, you can create an invoice with a few clicks for your clients. It is also transparent as you create the invoices from the reporting tool, which shows the actual hours spent on each project.
Let’s take a look at the reporting features!
Reporting and analytics

During my Toggl Track review, I discovered that it provides detailed summary reports about how you & your team spent their time with clients and projects. You can quickly access the Pie charts for project distribution and billable hours.
Nevertheless, besides the projects, you can filter on clients, team members, tags, tasks, and more. So, you have many options to analyse the data trends about your team’s productivity.
Inside the reporting tool, you can access additional features like workload view and profitability analysis. These features can be crucial for agencies or consultancy businesses to ensure they have enough capacity and they work within budget.
Overall, Toggl Track’s reporting tools worked great for me. As a business owner myself, I can safely say that it covers all the data about your business that you need to make the right decisions.
Clockify’s key features
Now, it’s time to check Clockify’s features!
Timer

Using the timer, you can capture your time spent on specific projects and tasks. It is super easy to start the timer. Basically, you can do it with one click.
When starting a new task or project and wanting to keep track of your time spent, you can add some additional information. For example, you can add it to a project, add a tag, or select whether this activity is billable or not. Nevertheless, the admin can change these parameters.
Every time you stop the timer, you will see the previous activities in the timer tab. Here, you can easily continue tracking time spent on previous tasks that you did not finish by clicking the start button.
This way, you can dynamically change between tasks if you cannot finish the previous one.
When you are on the go, you can use Clockify’s mobile app to track time. It’s a great time-tracking solution for those who need to travel during work.
Using Clockify’s kiosk feature, you can set up shared spaces from which people can clock in, or you can invite them to Clockify to complete their timesheets on their own. This feature was designed for shared devices in locations like reception areas or workstations.
Automatic time tracking
After you download the desktop version, you can enable Clockify’s automatic time tracking feature. Using this feature, Clockify will track websites and programs you view for more than 10 seconds.
Most of the time, I used the auto tracker and not the timer-based tracking, as I did not have to manually switch on and off the time tracker.
Timesheet

When testing Clockify, I also checked its timesheet tool. This feature allows users to log time spent on projects and tasks, categorize entries, add details, generate reports, and submit them for approval.
You can filter on different periods and team members, but you can also modify, remove, or add new time entries. Its template feature is valuable to accelerate the process of creating time entries.
With the templates, you can save your current timesheet with the added time entries and use it in the future. It’s helpful in cases when you have recurring projects each week, and you only need to copy the template and edit the time spent.
Furthermore, you can also copy the previous week’s timesheet to avoid manually adding the recurring time entries. Here, you can choose whether you want to copy the activities or both the activities and the recorded time.
Calendar

Clockify has an in-built calendar feature to track time, compare planned vs tracked time, and add or edit entries. A quick note to this – I discovered that if you enable the “Force Timer” feature, you can not manually add or remove time entries.
Moreover, it also makes sense to integrate with your Google Calendar or Outlook to see all your events in one place. Additionally, I discovered during my Clockify review that it not only integrates with Google Calendar and Outlook but also displays your time-offs in the calendar, as requested through this time-tracking software.
Project management

With Clockify, you can create multiple projects. You can either create projects using the Projects tab on the left sidebar or create one when using the timer.
However, keep in mind that Clockify does not have advanced project management features. You can create specific tasks for specific projects, and that’s it. There are no project visualization options or task management features.

If you click on the Create New Project tab, you can enter a project name, select a color or client, choose whether it is visible to all the team members, or if you create it based on a previous template.
But what are the project templates exactly?
Using Clockify, you can create project templates. It is helpful when you work on similar projects and don’t want to deal with the same project setup over and over. You can create project templates with settings such as billable rates, estimates, tasks, teams, and custom fields.
Overall, Clockify offers basic project management features, but the project templates are a simple yet valuable addition that saves time.
Expense management

Before creating an expense, you need to make sure you have all the expense categories you need. Clockify offers some default categories like meals or entertainment, but you can create some personalized ones.

Once you’re done, you can create an expense with just a few clicks. Clockify allows you to add a date, project, team member, category, amount, note, and attach files.
After you add all the expenses, you can submit for approval, similar to the timesheet. Overall, Clockify offers a smooth expense-tracking feature that is easy to use, even for those who have never used time-tracking software before.
Dashboard

Clockify’s dashboard provides an overview of your activities and time management. You can filter by days, weeks, months, and so on.
If you use Clocify as a small business, each team member gets a personalized dashboard that shows the time they’ve tracked. The team dashboard shows a breakdown of the activities in your workspace so you can see what your team is working on.
I discovered that you can easily select whether you want the chart to show the projects or billability. I believe this feature can come in handy for agencies.
Ultimately, the dashboard feature is suited for those who need a simple solution to track employee hours. It provides a practical way for better workload and team management.
For me, as a solo entrepreneur, it is too basic, and it would be great if I could see more information about how I actually spend my time, like percentage-based category breakdowns or sessions.
Reporting

The reports are quite similar to the dashboard features. I noticed during my Clockify review that, this time, tracking software has quite good reporting capabilities.
Essentially, the reports break down data by team, project, billable hours, and date. It visualizes with charts and allows for comparison of estimated vs tracked time. Clockify also allows you to schedule reports using this data.
What I especially loved when using this feature is how easy it is to access the earnings, costs, profit, billable hours, and non-billable hours. It offers a great way to see how your team is working from a profitability perspective.
Clients & invoices

If using the default settings, owners and admins can create clients. However, you can modify this setting at any time you need to.
You can allocate each project to a client to effectively track work hours for that specific client. If you have projects that are not related to a client, simply select the “No Client” option, and they will not be connected to a client.

You can easily create clients using the “Clients” tab on the left sidebar. When adding a new client, you can also select the address, email, and currency.

Clockify also has an invoicing feature where you can select which client you want to issue it to. It is an easy-to-use feature overall, and you have all the options to create an invoice quickly.
Once you have added the necessary information, you can download it or send the invoice directly. All in all, it is a simple feature for those who do not use an invoicing app.
Location tracking
This Clockify feature is valuable for teams with numerous members who are on the road or on-site. They can clock in via their mobile app, and you can see their location on the map.
Personally, I did not use this feature since I work from home, but it could be relevant for some teams. For this, they only need mobile devices, and they are good to go.
User interface
I know that the user interface is a crucial factor for many of you when deciding between Toggl Track and Clockify. So, let’s take a closer look!
Toggl Track’s user interface

Toggl Track offers an intuitive interface. No matter if you use the web or desktop app, the navigation is smooth, and there is only a minimal learning curve.
Clockify’s user interface

Clockify has a straightforward user interface. No matter if you use it on a computer or mobile device, this time tracking software is straightforward.
For me, the UI is a bit old-fashioned, but at least the navigation is straightforward and helps to minimize the learning curve of this app.

It is time to check the integration options in the Toggl vs Clockify battle!
Toggl Track’s integrations

You can connect Toggl Track with over 100 third-party apps directly, including project management apps like Asana and Clickup, or note-taking apps such as Notion and Evernote.
In addition, Toggl Track supports the Zapier integration, so you can connect it with an additional 7,000+ third-party apps.
Clockify’s integrations

You can connect Clockify with 80+ third-party apps so you can track time from anywhere on the web with one click. For this, you only need to install the browser extension and log in, and a timer button will automatically appear inside other apps.

I spent a lot of time with this time-tracking software during testing. I not only tested it, but also implemented it in my business to see how it affects my workflows.
And honestly, I was quite satisfied. This time tracking app is super simple to use, while providing all the features a small or medium-sized business might need.
It has a user-friendly interface, and the reporting and client billing tools are outstanding. Considering its features & pricing, Toggl Track is among the best time tracking apps for me.
While it is not ideal for businesses with field services, as it does not support location tracking, it is especially valuable for remote teams, agencies, or consultancy businesses.
My experience with Clockify
Clockify is a simple time-tracking software for individuals and teams. Although it is a feature-rich app, as you can use it for expense management and invoices, I still missed the in-depth options for the dashboard or time tracker, for example.
The user interface is quite straightforward, so there is a short learning curve regardless of the number of features this time-tracking software can offer.
Ultimately, Clockify is a solid free-time tracking solution with an extensive free plan. When it comes to the paid plans, Clockify adopted reasonable pricing.
Based on my experience, if you need in-depth time-tracking software as a solo entrepreneur, Clockify might not be the best option for you.
Nevertheless, if you want to have a simple time-tracking solution for your business with numerous other features that can replace other tools, for example, invoicing or expense management apps, Clockify could be a great option.
In addition, it could be an excellent alternative for agencies or client-facing teams, as it offers many advanced features to keep track of time, projects, and billable hours.
Overall, I had a positive experience when testing Clockify, and I think it is an okay time-tracking tool.
Toggl Track’s pros and cons

Toggl Track’s pros
The first thing I realized in the course of my Toggl Track review is the ease of use. Compared to other time tracking apps, Toggl Track is beautiful and straightforward.

Toggl Track’s cons
For construction, real estate, or other businesses that need location tracking, Toggl Track is not an ideal option, as it lacks GPS tracking capabilities.
Clockify’s pros and cons
At this point in my Toggl vs Clockify review, it is time to check Clockify’s pros and cons!

Clockify’s pros
First of all, Clockify is a versatile time-tracking tool, as it works on all platforms and devices. You can utilize it on Windows, Mac, Android, and iPhone, and it offers a web version as well.
Secondly, it is a simple time-tracking app. Thanks to its straightforward functions, you can learn how to use Clockify fast.
Moreover, Clockify offers many additional features besides time tracking, such as expense management, invoicing, timesheet, and more, that allow businesses to implement this app in numerous workflows, replacing other apps.
Similar to Toggl Track, Clockify also has some useful features for client-facing teams. With these features, businesses can track billable hours easily.
Lastly, Clockify’s free version includes some useful features that are typically part of paid plans.
Clockify’s cons
My first con is that an admin account is counted as one seat, and Clockify does not show it clearly in the pricing plans.
In addition, Clockify’s mobile app is slow and has some bugs.
Personally, Clockify’s user interface is old-fashioned and not as beautiful as Toggl Track or some others. Nevertheless, this is just a personal opinion, so I will not add this as a con.
Alternatives to Toggl Track and Clockify
If you are still unsure about your pick after this Toggl and Clockify comparison, here are some other alternatives:
- Rize: It is an AI-powered time tracker that has helped me a lot with focus and building more sustainable working habits. Works great for solo entrepreneurs, business owners, and professionals.
- Time Doctor: An app with robust time-tracking features and advanced analytics tools. It has employee monitoring, workforce, and productivity analytics features.
- Harvest: A popular time-tracking app with massive invoicing and reporting capabilities.

- ClockShark: ClockShark is a cloud-based time-tracking and employee scheduling software built for field service businesses with crews working outside the office.
My pick: Toggl vs Clockify
After testing and using both Toggl Track and Clockify for weeks in my business, my pick is Toggl Track. While it is a more expensive time tracking app than Clockify, it offers a better user experience overall, and I found its feature set a better fit for my business’s needs.
That said, I do not need GPS tracking, and the main aspect for me when selecting a time tracking app is what features it can offer for productivity, rather than focusing on employee monitoring tools.
So, if you have similar needs, probably Toggl Track will be a better alternative for your business. However, if you need location tracking and to manage field teams, Clockify is a better solution.
