Detailed comparison: Time Doctor vs Clockify

Key features

Let’s begin with Time Doctor’s key features!

Time Doctor’s key features

Dashboard

Visually, Time Doctor does a great job of organizing data with charts, graphs, and color-coding, so even if you’re looking at dozens of metrics, you can navigate it quickly.

You can view it in two modes: Team Dashboard or User Dashboard. Both display plenty of information in a highly visual, organized way, making it easy to interpret.

The Team Dashboard offers valuable insights such as Top Projects, Who’s Working Now, Who Hasn’t Started Yet, Top Users, and even User Activity Levels based on keyboard and mouse activity.

Time Doctor Team Dashboard review

On the other hand, the User Dashboard gives you a more individual breakdown, including Timelines, Hours Tracked, Idle Minutes, Productivity Percentages, and Top Used Websites & Applications.

Time Doctor User Dashboard

One of my favorite touches is the Widgets option, which lets you choose exactly which data you want to see. This makes it easy to personalize the dashboard to focus on the metrics that matter most to you.

From the dashboard bar, you can easily export your data with one click. Right next to that, you’ll find a handy Time Zone display and a range of date filters.

My overall feeling was that Time Doctor’s dashboard strikes a solid balance between depth of data and clarity of presentation.

Benchmarks AI

I haven’t noticed this type of benchmarking feature in most other productivity tools I’ve tested, so it definitely gives Time Doctor an edge for teams and users who want more context around their productivity stats.

Time Doctor's Benchmarks AI's feature

Time Doctor’s Benchmarks AI feature is designed to help you understand how your overall productivity ratings compare to others. It uses AI to match you with similar profiles or lets you benchmark against all profiles across the platform.

While simple at first glance, this tool can be particularly valuable for managers or individual users who want to spot productivity gaps or identify areas for improvement. By seeing where you stand against peers with similar work patterns, you can better set goals, track progress, and optimize workflows.

Time tracking

Time tracking isn’t built into the web app, so you’ll need to use the desktop app instead. The web version is mainly for managing and analyzing the time data collected from the desktop and mobile apps.

The desktop app tracks time well, but that’s pretty much all it does. Its interface shows Dashboard, Screencasts, Edit Time, and Settings, though everything except Settings redirects you to the web app.

In Settings, you’ll find handy features like reminders to start tracking or automatically starting the timer.

Time Doctor desktop app tracking

The web app’s Edit Time section offers a clear, color-coded table showing Computer Time, Manual Time, Mobile Time, Break Time, and Leave Time. You can edit or create time entries directly from this section.

Timedoctor automated timesheets

The mobile app is just as simple. It only tracks time, while other options link back to the website. I also noticed you can run timers on both desktop and mobile simultaneously, but they don’t sync.

Payroll

During my Time Doctor review, I found the Payroll feature refreshingly straightforward. The interface is clean and intuitive, with all key details displayed in a single table. Everything I needed was right there, without having to click through multiple screens.

Time Doctor Payroll feature

You can set hourly budgets for each team member to keep payroll expenses under control. Time Doctor also makes it easy to track billable hours, ensuring accurate client invoicing and payroll calculations.

I especially like that the Manage payment methods button is right at the top, giving quick access to multiple payout options like PayPal Payouts, Wise, Payoneer MassPay, Gusto, ADP, and even Deel. Wise is highlighted as a cost-saving choice for international payments, which is great for global teams.

Time Doctor Payroll feature review

The fact that Time Doctor supports so many payment integrations in one place is a big plus, especially for remote teams.

You can also easily export payroll as a CSV or summary report, making it simple to share with accountants or plug into other systems.

Employee monitoring features
Time Doctor Screen monitoring feature

Let’s go straight to the point: screen monitoring in Time Doctor can feel a bit intrusive.

It takes screenshots at set intervals and shows them in the Screencasts section of the web app, while monitoring keyboard and mouse activity. You can filter these by Low Activity or Identical to quickly spot unproductive or duplicate frames.

The good thing is – it’s customizable. In Settings → Users, you can disable screenshots completely or choose how often they’re taken (every 3, 9, 15, or 30 minutes). There’s even a continuous video recording option if you need more detailed monitoring.

Time Doctor Users settings

You can also blur screenshots for privacy and delete them if needed. Keep in mind that deleting a screenshot also removes the time logged during that period. There’s an inactivity timeout, too, which automatically stops tracking after a set idle time (or you can turn it off entirely).

Reports

The Reports feature gives you a clear, detailed view of productivity and work hours. Everything is well-organized, so it’s easy to find what you’re looking for. You can fully customize each report, which makes usage tracking and employee monitoring much more straightforward.

Time Doctor reports feature

You’ll find different options like the Hours Tracked Report, App Usage Report, and Tasks Report. These are very useful for keeping an accurate record of time entries, seeing how employees spend their time, and tracking productivity across projects.

So, it offers a useful mix for project management, productivity, and task tracking.

Time Doctor also offers a Custom Export option, which I found especially useful. You can choose exactly which data points to include, such as tracked time, manual time, activity levels, productivity percentages, and more.

Custom export feature

Reports can be exported in different time formats (hours & minutes, decimal, or digital) and even adjusted for each user’s time zone. This makes it easy to create tailored reports that match specific tracking and analysis needs.

Time Doctor report export tool

You can also set up email notifications for any report, so you’re always in the loop without having to log in. You can choose the specific report you want, decide how often it’s sent, and even select the exact time for delivery.

Time Doctor Email notification tool review

This allows managers to keep an eye on employee activity and productivity trends through real-time tracking.

Clockify’s key features

Let’s move on to the key features I tried when testing and reviewing Clockify.

Timer
Clockify time tracking features

Using the timer, you can capture your time spent on specific projects and tasks. It is super easy to start the timer. Basically, you can do it with one click.

When starting a new task or project and wanting to keep track of your time spent, you can add some additional information. For example, you can add it to a project, add a tag, or select whether this activity is billable or not. Nevertheless, the admin can change these parameters.

Every time you stop the timer, you will see the previous activities in the timer tab. Here, you can easily continue tracking time spent on previous tasks that you did not finish by clicking the start button.

This way, you can dynamically change between tasks if you cannot finish the previous one.

When you are on the go, you can use Clockify’s mobile app to track time. It’s a great time-tracking solution for those who need to travel during work.

Using Clockify’s kiosk feature, you can set up shared spaces from which people can clock in, or you can invite them to Clockify to complete their timesheets on their own. This feature was designed for shared devices in locations like reception areas or workstations.

Automatic time tracking

After you download the desktop version, you can enable Clockify’s automatic time tracking feature. Using this feature, Clockify will track websites and programs you view for more than 10 seconds.

Most of the time, I used the auto tracker and not the timer-based tracking, as I did not have to manually switch on and off the time tracker.

Timesheet
Clockify timesheet feature

When testing Clockify, I also checked its attendance tracking tool. This feature allows users to log time spent on projects and tasks, categorize entries, add details, generate reports, and submit them for approval.

You can filter on different periods and team members, but you can also modify, remove, or add new time entries. Its template feature is valuable to accelerate the process of creating time entries.

With the templates, you can save your current timesheet with the added time entries and use it in the future. It’s helpful in cases when you have recurring projects each week, and you only need to copy the template and edit the time spent.

Furthermore, you can also copy the previous week’s timesheet to avoid manually adding the recurring time entries. Here, you can choose whether you want to copy the activities or both the activities and the recorded time.

Calendar
Clockify calendar feature

Clockify has an in-built calendar feature to track time, compare planned vs tracked time, and add or edit entries. A quick note to this – I discovered that if you enable the “Force Timer” feature, you can not manually add or remove time entries.

Moreover, it also makes sense to integrate with your Google Calendar or Outlook to see all your events in one place. Additionally, I discovered during my Clockify review that it not only integrates with Google Calendar and Outlook but also displays your time-offs in the calendar, as requested through this time-tracking software.

Project & task management
Clockify project management features

With Clockify, you can create multiple projects. You can either create projects using the Projects tab on the left sidebar or create one when using the timer.

However, keep in mind that Clockify does not have advanced project management features. You can create specific tasks for specific projects, and that’s it. There are no project visualization options or task management features.

Creating projects with Clockify

If you click on the Create New Project tab, you can enter a project name, select a color or client, choose whether it is visible to all the team members, or if you create it based on a previous template.

But what are the project templates exactly?

Using Clockify, you can create project templates. It is helpful when you work on similar projects and don’t want to deal with the same project setup over and over. You can create project templates with settings such as billable rates, estimates, tasks, teams, and custom fields.

Overall, Clockify offers basic project management features, but the project templates are a simple yet valuable addition that saves time.

Expense management
Clockify expense management features

Before creating an expense, you need to make sure you have all the expense categories you need. Clockify offers some default categories like meals or entertainment, but you can create some personalized ones.

Clokify review_expense tracking

Once you’re done, you can create an expense with just a few clicks. Clockify allows you to add a date, project, team member, category, amount, note, and attach files.

After you add all the expenses, you can submit for approval, similar to the timesheet. Overall, Clockify offers a smooth expense-tracking feature that is easy to use, even for those who have never used time-tracking software before.

Dashboard
Clockify dashboard feature

Clockify’s dashboard provides an overview of your activities and time management. You can filter by days, weeks, months, and so on.

If you use Clocify as a small business, each team member gets a personalized dashboard that shows the time they’ve tracked. The team dashboard shows a breakdown of the activities in your workspace so you can see what your team is working on.

I discovered that you can easily select whether you want the chart to show the projects or billability. I believe this feature can come in handy for agencies.

Ultimately, the dashboard feature is suited for those who need a simple solution to track employee hours. It provides a practical way for better workload and team management.

For me, as a solo entrepreneur, it is too basic, and it would be great if I could see more information about how I actually spend my time, like percentage-based category breakdowns or sessions.

Reporting
clockify reporting capabilities

The reports are quite similar to the dashboard features. I noticed during my Clockify review that, this time, tracking software has quite good reporting capabilities.

Essentially, the reports break down data by team, project, billable hours, and date. It visualizes with charts and allows for comparison of estimated vs tracked time. Clockify also allows you to schedule reports using this data.

What I especially loved when using this feature is how easy it is to access the earnings, costs, profit, billable hours, and non-billable hours. It offers a great way to see how your team is working from a profitability perspective.

Clients & invoices
Clockify clients feature

If using the default settings, owners and admins can create clients. However, you can modify this setting at any time you need to.

You can allocate each project to a client to effectively track work hours for that specific client. If you have projects that are not related to a client, simply select the “No Client” option, and they will not be connected to a client.

Creating invoice with clockify

You can easily create clients using the “Clients” tab on the left sidebar. When adding a new client, you can also select the address, email, and currency.

Invoice feature Clockify

Clockify also has an invoicing feature where you can select which client you want to issue it to. It is an easy-to-use feature overall, and you have all the options to generate invoices quickly.

Once you have added the necessary information, you can download it or send the invoice directly. All in all, it is a simple feature for those who do not use an invoicing app.

GPS tracking

This Clockify feature is valuable for teams with numerous members who are on the road or on-site. They can clock in via their mobile app, and you can see their location on the map.

Personally, I did not use this feature since I work from home, but it could be relevant for some teams. For this, they only need mobile devices, and they are good to go.

User interface

I know that the user interface is a crucial factor for many of you when deciding between Clockify and Time Doctor. So, let’s take a closer look!

Time Doctor’s user interface

The user interface is clean, intuitive, and easy to navigate, even for first-time users. All key features are neatly organized in the dashboard, so you don’t waste time searching for them.

Clockify’s user interface

Clockify has a straightforward user interface. No matter if you use it on a computer or mobile device, this time tracking software is straightforward.

For me, the UI is a bit old-fashioned, but at least the navigation is straightforward and helps to minimize the learning curve of this app.

Integrations

It is time to check the integration options in the Clockify vs Time Doctor battle!

Time Doctor’s integrations

Time Doctor's integration

Time Doctor offers over 60 integrations, including Asana, Azure DevOps, Avaza, ADP, and others. The idea is to keep everything in one place so productivity tracking and employee monitoring feel seamless. There are also Chrome and Firefox extensions that should let you track time directly inside these apps.

In theory, this all sounds great. In practice, I had mixed results.

The Chrome extension didn’t work with Trello or Jira, two platforms I use daily and that should integrate effortlessly.

For some other tools, you’ll need to go through extra configuration steps, which made me wonder: if the integrations that are supposed to “just work” don’t, how reliable are the rest?

Clockify’s integrations

Clockify integrations

You can connect Clockify with 80+ third-party apps so you can track time from anywhere on the web with one click. For this, you only need to install the browser extension and log in, and a timer button will automatically appear inside other apps.

Clockify allows integration with some of the most popular project management apps, such as Monday or ClickUp. It’s also great that you can connect it with your Google Calendar and Outlook.

The Free plan covers some of the key features like a time tracker, timesheet, kiosk, calendar, pomodoro timer, mobile and desktop app, reports, and auto tracker. It’s also great that it includes unlimited tracking.

Overall, thanks to its extensive free version, it’s a solid free time tracking tool.

If you need robust time-tracking features, I recommend choosing the Pro plan. With this plan, you can access all the features I showed you in this Clockify review. That said, you can use its expense management tool, budgets, force timer, alerts, GPS tracking, and more.

The Pro plan is $7.99 per month if you choose annual billing. For monthly billing, this plan is $9.99.

My experience with Time Doctor

Overall, Time Doctor is a solid time-tracking tool. It delivers on its promise of detailed analytics, clear reporting, and straightforward payroll management.

While I found the interface clean and easy to navigate, some aspects, like customer support issues, occasional technical glitches, and limited admin controls over monitoring settings, can make it feel more invasive than necessary.

While its employee monitoring features can be intense if left at their default settings, they can also be adjusted to suit your team’s comfort level.

For teams that value transparency, data-driven insights, and features like billable hours tracking and the ability to set hourly budgets, Time Doctor can be the right employee monitoring software and time tracking app as long as you’re willing to fine-tune it to avoid crossing into surveillance territory.

My experience with Clockify

Clockify is a simple time-tracking software for individuals and teams. Although it is a feature-rich app, as you can use it for expense management and invoices, I still missed the in-depth options for the dashboard or time tracker, for example.

The user interface is quite straightforward, so there is a short learning curve regardless of the number of features this time-tracking software can offer.

Ultimately, Clockify is a solid free-time tracking solution with an extensive free plan. When it comes to the paid plans, Clockify adopted reasonable pricing.

Based on my experience, if you need in-depth time-tracking software as a solo entrepreneur, Clockify might not be the best option for you.

Nevertheless, if you want to have a simple time-tracking solution for your business with numerous other features that can replace other tools, for example, invoicing or expense management apps, Clockify could be a great option.

In addition, it could be an excellent alternative for agencies or client-facing teams, as it offers many advanced features to keep track of time, projects, and billable hours.

Overall, I had a positive experience when testing Clockify, and I think it is an okay time-tracking tool.

Time Doctor’s pros and cons

At this point in my Clockify vs Time Doctor review, it is time to check Time Doctor’s pros and cons!

Pros and Cons of Time Doctor

Time Doctor’s pros

First of all, Time Doctor is very easy to use. Both the desktop and mobile apps are very simple and intuitive.

Secondly, the web app provides a lot of detailed insights. Thanks to its clear and visually organized interface, you can quickly understand all the data.

Moreover, Time Doctor offers extensive reporting features. You can access all the information you need quickly, which is great for tracking productivity and managing teams.

Lastly, Time Doctor supports over 60 integrations, including popular tools like Asana, Jira, and Azure DevOps, making it easier to incorporate into existing workflows.

Time Doctor’s cons

My first concern is about customer support. They should definitely work on that.

In addition, there are some technical issues. The Chrome extension doesn’t always work with certain apps, and the Android app can be difficult to download.

Furthermore, admins have limited control over feature settings, which makes it harder to adjust the software’s invasiveness compared to other time tracking software.

Lastly, Time Doctor does not offer a free version, only a trial.

Clockify’s pros and cons

Pros and Cons of Clockify

Clockify’s pros

First of all, Clockify is a versatile time-tracking tool, as it works on all platforms and devices. You can utilize it on Windows, Mac, Android, and iPhone, and it offers a web version as well.

Secondly, it is a simple time-tracking app. Thanks to its straightforward functions, you can learn how to use Clockify fast.

Moreover, Clockify offers many additional features besides time tracking, such as expense management, invoicing, timesheet, and more, that allow businesses to implement this app in numerous workflows, replacing other apps.

Clockify also has some useful features for client-facing teams. With these features, businesses can track billable hours easily.

Lastly, Clockify’s free version includes some useful features that are typically part of paid plans.

Clockify’s cons

My first con is that an admin account is counted as one seat, and Clockify does not show it clearly in the pricing plans.

In addition, Clockify’s mobile app is slow and has some bugs.

Personally, Clockify’s user interface is old-fashioned and not as beautiful as Rize or some others. Nevertheless, this is just a personal opinion, so I will not add this as a con.

Alternatives to Time Doctor and Clockify

If you are still unsure about your pick after this Clockify and Time Doctor comparison, here are some other alternatives:

  • Rize: It is an AI-powered time tracker that has helped me a lot with focus and building more sustainable working habits. Works great for solo entrepreneurs, business owners, and professionals.
  • Hubstaff: A time-tracking and productivity-monitoring app with in-depth reporting features.
  • Toggl Track: It is a user-friendly time-tracking app that offers desktop and mobile apps and a web version as well. It’s particularly useful when managing teams.

To be fully honest, this match-up is a draw for me. But if I need to choose, I would say this:

If you are managing a remote team and want to focus more on monitoring and your team’s productivity management, Time Doctor is a better choice.

If employee productivity is not that important for you, and you need a solution that you can use for time tracking, expense, and project management, I would go with Clockify. It is a decent time tracking app with some additional useful features at a reasonable price.

Frequently asked questions

Which is better, Clockify or Toggl?

After testing and using both Toggl Track and Clockify for weeks in my business, my pick is Toggl Track. While it is a more expensive time tracking app than Clockify, it offers a better user experience overall, and I found its feature set a better fit for my business’s needs.

That said, I do not need GPS tracking, and the main aspect for me when selecting a time tracking app is what features it can offer for productivity, rather than focusing on employee monitoring tools.

So, if you have similar needs, probably Toggl Track will be a better alternative for your business. However, if you need location tracking and to manage field teams, Clockify is a better solution.

Does Time Doctor see your screen?

Time Doctor captures time spent on tasks, app and website usage, keyboard and mouse movement, and periodic screenshots. It also tracks location via IP addresses and records work hours for payroll and reporting purposes.

Which is better, Hubstaff or Time Doctor?

Both time tracking software are among the top ones currently. For me, Hubstaff is slightly better than Time Doctor, as it offers more features & use cases for businesses. With Hubstaff, you access location tracking, project management tools, and a calendar as well. I especially valued the strong admin controls over the features.

Nevertheless, Time Doctor might be a better solution for remote teams. Time Doctor is a quite solid employee monitoring software with excellent features to measure employee productivity.
