Lastly, I will show you the pros and cons of Clockify and Rize and their alternatives and reveal my pick.
Key features
Let’s begin with Clockify!
Clockify’s key features
Here are the features I tried when testing Clockify.
Timer

Using the timer, you can capture your time spent on specific projects and tasks. It is super easy to start the timer. Basically, you can do it with one click.
When starting a new task or project and wanting to keep track of your time spent, you can add some additional information. For example, you can add it to a project, add a tag, or select whether this activity is billable or not. Nevertheless, the admin can change these parameters.
Every time you stop the timer, you will see the previous activities in the timer tab. Here, you can easily continue tracking time spent on previous tasks that you did not finish by clicking the start button.
This way, you can dynamically change between tasks if you cannot finish the previous one.
When you are on the go, you can use Clockify’s mobile app to track time. It’s a great time-tracking solution for those who need to travel during work.
Using Clockify’s kiosk feature, you can set up shared spaces from which people can clock in, or you can invite them to Clockify to complete their timesheets on their own. This feature was designed for shared devices in locations like reception areas or workstations.
Automatic time tracking
After you download the desktop version, you can enable Clockify’s automatic time tracking feature. Using this feature, Clockify will track websites and programs you view for more than 10 seconds.
Most of the time, I used the auto tracker and not the timer-based tracking, as I did not have to manually switch on and off the time tracker.
Timesheet

When testing Clockify, I also checked its timesheet tool. This feature allows users to log time spent on projects and tasks, categorize entries, add details, generate reports, and submit them for approval.
You can filter on different periods and team members, but you can also modify, remove, or add new time entries. It’s template feature is valuable to accelerate the process of creating time entries.
With the templates, you can save your current timesheet with the added time entries and use it in the future. It’s helpful in cases when you have recurring projects each week, and you only need to copy the template and edit the time spent.
Furthermore, you can also copy the previous week’s timesheet to avoid manually adding the recurring time entries. Here, you can choose whether you want to copy the activities or both the activities and the recorded time.
Calendar

Clockify has an in-built calendar feature to track time, compare planned vs tracked time, and add or edit entries. A quick note to this – I discovered that if you enable the “Force Timer” feature, you can not manually add or remove time entries.
Moreover, it also makes sense to integrate with your Google Calendar or Outlook to see all your events in one place. Additionally, I discovered during my Clockify review that it not only integrates with Google Calendar and Outlook but also displays your time-offs in the calendar, as requested through this time-tracking software.
Project management

With Clockify, you can create multiple projects. You can either create projects using the Projects tab on the left sidebar or create one when using the timer.
However, keep in mind that Clockify does not have advanced project management features. You can create specific tasks for specific projects, and that’s it. There are no project visualization options or task management features.

If you click on the Create New Project tab, you can enter a project name, select a color or client, choose whether it is visible to all the team members, or if you create it based on a previous template.
But what are the project templates exactly?
Using Clockify, you can create project templates. It is helpful when you work on similar projects and don’t want to deal with the same project setup over and over. You can create project templates with settings such as billable rates, estimates, tasks, teams, and custom fields.
Overall, Clockify offers basic project management features, but the project templates are a simple yet valuable addition that saves time.
Expense management

Before creating an expense, you need to make sure you have all the expense categories you need. Clockify offers some default categories like meals or entertainment, but you can create some personalized ones.

Once you’re done, you can create an expense with just a few clicks. Clockify allows you to add a date, project, team member, category, amount, note, and attach files.
After you add all the expenses, you can submit for approval, similar to the timesheet. Overall, Clockify offers a smooth expense-tracking feature that is easy to use, even for those who have never used time-tracking software before.
Dashboard

Clockify’s dashboard provides an overview of your activities and time management. You can filter by days, weeks, months, and so on.
If you use Clocify as a small business, each team member gets a personalized dashboard that shows the time they’ve tracked. The team dashboard shows a breakdown of the activities in your workspace so you can see what your team is working on.
I discovered that you can easily select whether you want the chart to show the projects or billability. I believe this feature can come in handy for agencies.
Ultimately, the dashboard feature is suited for those who need a simple solution to track employee hours. It provides a practical way for better workload and team management.
For me, as a solo entrepreneur, it is too basic, and it would be great if I could see more information about how I actually spend my time, like percentage-based category breakdowns or sessions.
Reporting

The reports are quite similar to the dashboard features. I noticed during my Clockify review that, this time, tracking software has quite good reporting capabilities.
Essentially, the reports break down data by team, project, billable hours, and date. It visualizes with charts and allows for comparison of estimated vs tracked time. Clockify also allows you to schedule reports using this data.
What I especially loved when using this feature is how easy it is to access the earnings, costs, profit, billable hours, and non-billable hours. It offers a great way to see how your team is working from a profitability perspective.
Clients & invoices

If using the default settings, owners and admins can create clients. However, you can modify this setting at any time you need to.
You can allocate each project to a client to effectively track work hours for that specific client. If you have projects that are not related to a client, simply select the “No Client” option, and they will not be connected to a client.

You can easily create clients using the “Clients” tab on the left sidebar. When adding a new client, you can also select address, email, and currency.

Clockify also has an invoicing feature where you can select which client you want to issue it to. It is an easy-to-use feature overall, and you have all the options to generate invoices quickly.
Once you have added the necessary information, you can download it or send the invoice directly. All in all, it is a simple feature for those who do not use an invoicing app.
Location tracking
This Clockify feature is valuable for teams with numerous members who are on the road or on-site. They can clock in via their mobile app, and you can see their location on the map.
Personally, I did not use this feature since I work from home, but it could be relevant for some teams. For this, they only need mobile devices, and they are good to go.
Rize’s key features
Here are the key features I daily use for time tracking.
Automatic time tracking tool

Rize automatically captures the time spent on your computer, so you do not need to use timers for manual time tracking. Whenever you start your PC, Rize will automatically track your workflows and categorize them into different categories.
Don’t be afraid; you can turn off automatic tracking anytime if you click on the power button in the bottom left corner. Also, you can add activities manually if you want and make manual changes. So, you can add new activities or drag and drop the activity you selected.
The daily summary on the right side is quite useful, as you can get a quick overlook of how you spent your time so far. Nevertheless, you can change it to weekly, monthly, yearly, or custom views.

For example, here, I just filtered my time tracked in April. It is great that you can easily switch between these views.

If you click on the timer tab on the left, you can manually finish a session or add goals to each of them. Personally, I did not use this feature too many times, as I preferred the way Rize automatically tracks my time management.

Customizable categories

Rize is an automatic time-tracking app that categorizes your time spent into different activities and sessions. If you move your cursor to the specific activity, you will get a more detailed breakdown of your activity.
During my Rize review, I probably changed the activity’s category manually one or two times at maximum. So, Rize did a very good job of identifying the web pages and what activity I do exactly.

However, you can also create new categories if you can find the right one for your activity. You can also choose whether you want to change it for the selected time period or if you want to create this rule moving forward.

Besides the activities, Rize also uses sessions. Sessions are periods dedicated to focus time, meetings, and breaks.
Similarly to the activities, if you move your cursor to a session, you will get a more detailed view. I am not going to lie, guys; such data about your focus time can be brutal sometimes. It is just eye-opening sometimes when you see how much time you spend on unnecessary activities.
Overall, the automatic time tracking and activity categorization worked great for me and helped with tracking progress on projects.
AI notifications

Some of you guys probably run your own businesses or manage too many projects at the same time. I really appreciated Rize’s AI notifications on when to take a break based on my work activity.
