I spent more than 2 years trying and testing AI note-taking apps on the market to find the best ones. In this article, I will share an honest Equal Time review to save you time and money for testing yourself.

Equal Time is a simple AI-powered meeting assistant for Zoom, Google Meet, and Microsoft Teams calls. There are no fluffs, it does its job reliably, and it is one of the most straightforward AI note-takers I have used in the past years. So, overall, I had a positive experience with this productivity tool.
What is Equal Time?

Equal Time is a simple AI-powered meeting assistant for Zoom, Google Meet, and Microsoft Teams calls. When entering an online meeting, its bot will join, transcribe, record, and summarize your calls in twenty languages.
Nevertheless, besides meeting transcription and AI meeting notes, it offers more features to increase your productivity and efficiency when it comes to online meetings.
So, what exactly does Equal Time bring to the table beyond the basics?
For this, let’s take a closer look at its key features.
Equal Time Features
Here, I collected the key features I tried in the course of my Equal Time review.
Transcription & Recording

When you join a call, you can let Equal Time’s bot into the call, and it will take notes and transcribe everything word-for-word. If you enter your account settings, you can change the bot name to ensure it represents your brand.
The bot always arrived in time, so I did not have to wait for it like I did sometimes with Fireflies AI. The only time I needed to wait was when I joined the meeting earlier.

Equal Time uses timestamps for the transcription, so whenever you click on the minutes next to the meeting participants, the recording will jump to that part of the meeting. Using this side-by-side video player, you can view the video simultaneously while reading the transcript.
Based on my experience, Equal Time offers high transcription accuracy even if you use only your PC’s built-in microphone. For me, it took approximately five minutes to get the transcription after my calls, so it’s quite fast.
Equal Time has a search function as well for your transcripts. Using this feature, you can search for keywords or phrases in a single transcript or your entire meeting history.
As mentioned earlier, Equal Time records your calls, which can be useful for sales or customer-related calls to further improve performance.
AI Meeting Notes

After your meeting is over, Equal Time sends you the meeting summary via email, but you can also access it in the app. Such meeting notes are pretty simple and give you a quick picture of what happened during the call.

If you enter the app and click on the “Summary” tab of a specific meeting, you can find a quick meeting summary with the decisions and conclusion. With one click, you can export the meeting details to a Google Doc.
When you connect Equal Time to Zapier via webhooks, you can set up your meetings to automatically integrate with your CRM, issue tracker, chat tool, and many more.

In addition, Equal Time collects the action items from your calls. Such a feature basically summarizes the next steps for each participant after the call. It’s handy for keeping everyone accountable and aligned without needing to rewatch or re-read the entire meeting.
Overall, Equal Time’s meeting summary and action items features are straightforward and easy to use.
Meeting templates

You can change the meeting notes template to personalize the notes to the specific type of call that you are having. By default there is a general all-purpose meeting notes template that covers your basics (discussion points, action items, decisions made, summary).
However there are specific note templates for Recruiting calls and Interviews, Sales Meetings, Classes and Seminars, Daily Standups, Team Meetings, and more. And if you frequently have a specific type of meeting, you can change your default (in your Account Settings).
Additionally in the Company License, you can use a custom notes template, so you can get notes formatted exactly how you like.
Questions asked

You can click on “who asked questions” to see who asked how many questions. Then you can jump to them specifically in the transcript. This feature is especially helpful for Teachers and Sales Professionals who need to be able to locate who asked which questions.
Hybrid mode for in-person and hybrid meetings

If you go to the account settings page, you can turn on hybrid mode. This enables you to use Equal Time with either a hybrid call (some people are in a conference room and others are online) or with a 100% in-person meeting.
Thanks to Equal Time’s speaker diarization, it will separate voices even from a single microphone to provide an accurate transcription and summary.
Ask Equal Time

This is a powerful feature that allows you to ask any question about your meeting and immediately get a response. You can ask “What is most important to the client? What is their timeline?” or even “Draft me an empathetic and professional follow-up email to the client.”
Utilizing this feature in the day-to-day work, you can save time reviewing your meetings, finding answers, and drafting follow-ups.
Meeting Overview

The meeting overview provides some essential information about your online meetings, such as the sentiment of the meeting, gender balance, speaking balance, and much more.
I especially loved two metrics here. The first one is the cost of the meeting, which is calculated based on the average yearly salary of $104,000.
The other one is the participation gap that represents the percentage difference between the most talkative and the least talkative meeting participants.
Equal Time offers speaking time analysis by gender, so you can see how much of the meeting was dominated by men (or women, or nonbinary folks). This feature is also a special one, as I did not see anything similar in the past when reviewing other tools.
Inclusion Analysis

In addition to the meeting overview, you can access Equal Time’s inclusion analysis feature, which also helps you to improve your overall meeting performance.
This feature shows you the participation rate, monologues, mansplaining, and the number of interruptions. Below the cards, Equal Time breaks down your online call and provides a more detailed overview of the patterns of conversation.

I found the mansplaining feature very helpful, and quite frankly, I did not see this type of analysis when testing other AI note-takers. It shows if there were any condescending explanations, unsolicited corrections, and other negative meeting habits.
To summarize my experience, I was satisfied with the Inclusion Analysis feature of Equal Time. Such a feature works as an executive coach, essentially. It gives you private feedback on how you behave in a meeting, which helps improve your executive presence and leadership.
Meeting Library

Equal Time provides a clean, centralized hub for all your meetings. From this single dashboard, you can easily access call recordings, transcriptions, meeting summaries, and conversation insights in one place.
This feature is especially valuable if you’re juggling multiple meetings each week or month. It helps you stay organized, recall key details quickly, and avoid the hassle of searching across your email inboxes for different calls.
Admin features
There is a company dashboard that allows leaders of a team or organization to manage their members, provide oversight of all team members, and coach their employees. Admins can view meeting details and offer suggestions for improving their team members performance. Overview statistics (aggregates) are also available for speaking time by gender, seniority level, geographical location, and other metrics.
Integrations and webhooks
You can connect Equal Time to thousands of apps via Zapier, Make, or your custom webhook. These integrations allow you to automatically send all your meeting summaries at the end of your meeting to your CRM, issue tracker, chat tool, and more.
Go to your Account Settings, insert your webhook URL, and check the “Automatically post meeting data to webhook after each meeting” checkbox. This saves hundreds of hours of copy-pasting, so you do not need to update your other tools manually.
User Interface

Equal Time has a straightforward user interface. On the right side, you access all the key functions. The navigation is pretty smooth, so you can find and use all the features without a learning curve.

Although EqualTime has no free plan, it offers a 7-day trial for the Premium and Team plans.

Essentially, you can access all the features I showed you previously with the Premium plan. That said, you can use the AI meeting notes, transcription, meeting analysis, and global search features, and add a custom vocabulary of up to 1000 terms.
Quick note: There is no limit on the use (unlimited minutes), and it supports 102 languages.
You can get this plan for $15 monthly per user if you choose the annual billing. Alternatively, you can go for the monthly billing for $18 per user per month.
Equal Time Team
The Equal Time Team plan includes all the features that you can access in the Premium, but it was designed for teams. Besides the core feature of the Premium plan, you get administrative oversight, team-wide inclusion metrics, custom onboarding with the customer success team, and you can track your team members’ meetings.
The Team Plan is $75 per month with yearly billing and covers 5 Premium Seats. You can add additional seats for $18 monthly. If you want to have monthly billing, the Team Plan will cost you $90 per month, but you can add additional seats at the same price.
This plan is ideal for small teams that need a simple but reliable AI note-taker for Zoom, Google Meet, and Microsoft Teams meetings.
Company License
Equal Time applies customized pricing for the Company License. Compared to the Equal Time Team plan, it includes company-wide deployment, user management features, advanced reporting and security, and you can access additional integrations here with tools like Notion, Jira, Salesforce, and more.

My Experience with Equal Time
When testing this AI note-taker, I really loved its simplicity. I found everything easily and did not encounter any technical issues.
After using Equal Time for a few calls, I could safely conclude that it offers more accurate transcription than most of the AI note-takers. Also, I was satisfied with its AI meeting notes, as they helped to quickly get a good overall picture of my meetings and cover all the key points I need.
