What is MailBroom?

MailBroom is an AI-powered email cleanup tool designed to help you deal with a cluttered inbox. Developed by AIERT, it scans and classifies your emails, then helps you identify newsletters, notifications, and other messages you may no longer need. You can use it to delete, unsubscribe from, or organise emails in bulk.

MailBroom is available as an iOS app for personal email accounts, while MailBroom for Business is a web-based version designed for Microsoft 365 users.

The two versions have some differences in how the cleanup tools work, so I tested both to see how MailBroom handles everything from a quick inbox cleanup to more specific searches.

Testing MailBroom: My experience

I tested MailBroom across both its Business web app and iOS app to see how well it handles a real, cluttered inbox. I focused mainly on Smart Sweep, Storage Cleanup, Power Search, and the different ways the app uses AI to recommend cleanup actions.

The biggest advantage I noticed was how quickly MailBroom can clean up an inbox. The sender-based approach, combined with its various bulk actions, makes it possible to deal with a large number of emails fast.

I also liked the flexibility of the available actions and the different ways you can approach inbox cleanup. The sender-based grouping works particularly well in Smart Sweep and Storage Cleanup, where the goal is to process large volumes of email with a single decision.

When I needed more precise control, Power Search gave me the option to select individual emails, making it easier to target specific messages without affecting the rest of the sender’s emails.

I also found MailBroom reassuring from a privacy and security perspective, particularly on iOS, where email processing happens entirely on the device. The Business version has reasonable security measures and is fairly transparent about the data it processes.

Why did it get a 4.5 / 5?

MailBroom earns a 4.5/5 for combining fast, flexible inbox cleanup with a useful range of tools and AI-powered recommendations. Its sender-based approach makes it easy to process large volumes of email quickly, while Power Search gives you more granular control when you need it.

It’s not the most complete email tool I’ve tested, but for what it’s primarily designed to do, it’s genuinely very good. It focuses more on cleaning up an existing inbox than on broader email management and long-term automation.

A closer look at MailBroom

Now let’s take a closer look at the key features I tried during my MailBroom review.

Dashboard

The Dashboard works as MailBroom’s home screen, giving you a quick overview of your inbox and the cleanup you’ve done so far.

At the top, you can see the total number of emails, storage currently in use, and how many emails are ready to be swept. There are also shortcuts to the three main tools, Smart Sweep, Storage Cleanup, and Power Search, so you can jump straight into whichever type of cleanup you need.

What I particularly like is the Your Impact section further down the page. Instead of only showing how many emails you deleted, MailBroom keeps track of things like storage freed, emails organised, senders unsubscribed from, and the estimated time saved.

It also gives you an Inbox Health score and a potential speed improvement, although some of these numbers are more useful as a quick snapshot than something I would rely on too heavily.

At the bottom, there’s even a CO₂ Saved counter that estimates the environmental impact of deleting emails. It’s a small addition, but I liked seeing it included because it gives the otherwise fairly functional dashboard a bit more personality.

Smart Sweep

Smart Sweep is MailBroom’s main guided cleanup feature, and it takes a sender-based approach. You can use it in Individual or Bulk mode.

In Individual mode, Smart Sweep takes you through senders one at a time. It groups messages from the same sender and lets you decide what to do with the entire group. For each sender, you can preview the emails, see the AI-suggested action, and choose from several cleanup options.

You can also expand the group to view all of its emails. However, while you can inspect individual messages, you can’t take action on them separately. Any cleanup action you choose still applies to the entire sender group.

Bulk mode, on the other hand, lets you select multiple senders and apply an action to them at once, which can make the process considerably faster when you’re dealing with a large inbox.

The AI suggestions are a useful part of the process, as MailBroom recommends different actions depending on the sender. The Keep option also gives you more control than you might expect, allowing you to keep all emails, keep only the latest messages, or keep emails from a specific date onward.

The overall approach works well when you have hundreds of emails from senders you already know you don’t need. Since Smart Sweep is designed for bulk cleanup, being able to make one decision for an entire sender makes the process much faster.

I also like how the visual design supports this workflow. The card colour matches the colour of the corresponding action button, helping you understand the recommended action at a glance. For me, this made the cleanup process even faster.

Storage Cleanup

Storage Cleanup is designed for finding emails that are taking up space in your mailbox. Like Smart Sweep, it groups emails rather than making you go through them one by one, but here the focus is on age, domain, and storage usage. You can switch between By Age and By Domain views.

The By Age view divides emails into different age ranges. Within each group, MailBroom sorts senders into High, Medium, and Low Confidence categories, showing how many senders and emails each category contains, along with the amount of storage they use. You can expand a sender to preview its emails before deciding what to do with them.

The By Domain view takes a different approach, grouping emails by domain. Regardless of the view you use, the available actions are Delete, Unsubscribe, Keep, and Organise, which MailBroom conveniently abbreviates as DUKO. Each sender has four corresponding DUKO buttons, so you can choose an action directly from the list without opening the sender first.

I like that MailBroom shows the number of emails and storage used next to each sender, since this gives you a better idea of where a cleanup could make the biggest difference. The sender-based approach also makes sense here, since Storage Cleanup is designed for bulk housekeeping rather than reviewing every message individually.

Power Search

Power Search is the most flexible of MailBroom’s search tools, allowing you to look for specific emails using a range of filters. You can combine these filters to narrow down a large number of messages. It’s useful when you’re looking for a specific type of message rather than everything from a particular sender.

Power Search gives a great level of control you get over the results. You can select individual emails or bulk-select results, while the sender checkbox uses a tri-state system to show whether all, some, or none of the matching emails are selected. Once you’ve made your selection, you can move or delete the emails you want to act on.

I like this approach because it gives Power Search a different role from Smart Sweep and Storage Cleanup. The latter two are designed around fast, sender-level cleanup, while Power Search gives you more granular control when you’re looking for specific messages.

MailBroom Mobile App

The features covered in the previous section are part of MailBroom’s web version, which is designed for managing and cleaning up business inboxes. MailBroom also offers a separate iOS mobile app, designed for individual users.

The two versions are fairly similar in their core approach.

One notable difference is how prominent the AI recommendations are in the mobile app. Smart Sweep takes you through senders one at a time, suggests an action for each sender, and can flag individual emails that may be worth keeping.

MailBroom Privacy and Security

Privacy is particularly important for an email-cleanup tool, and MailBroom takes different approaches across its web and mobile versions. When it comes to explaining how the two products handle data, it does reasonably well.

The iOS app processes emails entirely on the device, with no MailBroom backend. Email content, sender addresses, credentials, and AI training data are not sent to MailBroom or third parties, while credentials are stored in Apple’s Keychain.

The Business version, however, uses Microsoft Graph and requires the delegated Mail.ReadWrite permission. It processes mailbox content, including subjects, senders, message bodies, and attachments, in real time to perform user-requested searches and cleanup actions, but says this content is not stored in its database.

It does retain account information, licence data, usage statistics, and Microsoft Graph access and refresh tokens, with data stored in the UK and deleted within 90 days of account termination.

On the security side, MailBroom reports TLS 1.2+, Microsoft Entra ID, MFA and Conditional Access support, vulnerability management, and a documented incident-response process. The company also clarifies that vulnerability scanning runs on every code push.

If I had to nitpick, the interface isn’t the most modern or visually polished, especially compared with some of the other email apps I’ve tested.

However, it’s functional and intuitive, and I like how the colour coding in Smart Sweep connects the sender card with the corresponding action button.

MailBroom pricing plans

MailBroom for Business uses a tiered pricing model based on the number of seats.

The smallest plan covers 1–5 users and costs £25 per month, while larger teams can choose plans covering up to 10, 25, 50, or 100 seats. Prices increase with each tier, reaching £350 per month for 51–100 seats, while businesses with more than 101 users can contact MailBroom for custom pricing.

There’s no traditional free plan for the Business version, but MailBroom does offer a free 30-day IT assessment.

The iOS version follows a freemium model, so you can use MailBroom for free without a time limit. However, the free tier is quite limited, with five Sweep sessions, one bulk delete, five unsubscribe operations, three AI reply scans, and one organise rule.

If you need more, MailBroom Pro starts at £0.99 for the first month, followed by plans ranging from £1.99 to £14.99 per month, depending on the number of email accounts. There are four tiers covering up to 3, 10, 20, or 50 accounts, with discounted annual plans also available.
