PandaDoc is located in San Francisco and offers an all-in-one tool that combines e-signatures with tools for creating, editing, and managing business documents. Unlike simpler e-signature apps, it positions itself as a complete solution for proposals, contracts, quotes, and approvals.

The platform is especially popular with sales teams and growing companies, since it includes features like templates, content libraries, analytics, and CRM integrations.

In other words, PandaDoc is built not just to sign documents, but to streamline the entire contract process, and ultimately help users to prepare and close deals.

What it’s like to use PandaDoc long-term

Using PandaDoc left me with mixed impressions. On the positive side, the platform looks great, the interface is easy to navigate, and features like the dashboard, folders, and even the stamps option show attention to detail.

But if you sign up with a personal email, you only have access to the limited Free eSign version. It’s marketed as a plan built for small businesses, yet most of the core features are locked away.

Also, besides DocuSign, PandaDoc is one of the most expensive e-signature software on the market. While it is worth it for sales and marketing teams, it is not the right solution for all use cases.

Overall, PandaDoc is a polished and clearly powerful tool to sign docs and it was clearly designed only for businesses and professionals.

Why PandaDoc scored 4.3 out of 5

PandaDoc received the highest scores for the features, even higher than we provide to Docusign. And it’s not an accident.

It offers a complete solution for businesses with extensive automation (5/5), legal compliance features (5/5), and integrations (5/5). For the other feature criteria we analyzed during our PandaDoc review, it gets 4.5 out of 5.

While PandaDoc offers a massive feature set, its pricing reflects this, which makes it one of the most pricey e-signature apps. Therefore, it gets 3 stars out of 5 for paid plans and 2 for the free plan.

When PandaDoc makes the most sense

When to consider alternatives to PandaDoc

Key features

Here’s a breakdown of key features I tried in the course of my PandaDoc review, along with my honest impressions.

Dashboard

PandaDoc’s dashboard is clean, intuitive, and fully customizable. You can filter documents by status (Drafts, Actions Required, Waiting for Others, Finalized), adjust the time period you want to review, and even choose which tabs are visible depending on your workflow.

This makes it easy to keep track of ongoing deals and stay on top of document progress without feeling overwhelmed by clutter.

That said, one thing you won’t find here is direct access to your signature. Like many e-sign platforms, PandaDoc keeps this option tucked away under Settings → Profile → Signature, and it only supports one signature and set of initials.

While this setup is fairly standard, I think PandaDoc could make things a bit more user-friendly by placing a shortcut on the dashboard. Platforms like Xodo Sign even go a step further and let you manage multiple signatures right from the main screen.

On the free plan, the dashboard mostly works as a tracker. Many of the deeper analytics and reporting tools are only available if you upgrade.

Add Signature & Stamps

Adding a signature is simple and flexible. You can upload an image of your signature, draw it (with different color options), or just type it out.

What stands out is the extra Stamps option, placed right under Signature. While initials are a common feature elsewhere, stamps are less typical.

They can be useful for businesses that rely on official company seals, administrative approvals, or international documents where a stamp still adds formality and trust. Even if not everyone needs it, it’s a nice addition for those who do.

Documents

The Documents tab is clean and easy to navigate. You can filter by date, status (Draft, Completed, Viewed), owner, or recipient. There are also “Smart Views” like Created by me and Expiring soon, plus the option to create folders for better organization.

Next to ‘My Documents’ is the ‘Content Library’. It’s designed for saving commonly used content for faster document creation. You simply upload the document you want to sign or get signed, and you can smoothly track its status.

Document creating & editing

Creating documents is flexible, and PandaDoc offers more options here. That said, you can upload a file, bulk import, or start from templates. After adding recipients, the document opens in a drag-and-drop editor. But here too, many advanced options are grayed out if you use the free version.

When it comes to editing, the experience is mixed. PDF files can’t be edited directly, so you can only add reusable blocks like signatures, text boxes, or dates.

Word documents, on the other hand, can be modified, and there’s an “Edit with AI” option, which is handy for quick tweaks. Still, true PDF editing is off the table unless you rely on external tools.

Once finished, documents can be shared by email, link, or even text message. This flexibility is a plus, but overall, the free plan feels more like a showcase than a real way to test the platform.

Templates

PandaDoc comes with a Template Gallery that covers a surprisingly large number of categories. There are options for sales, agreements, invoices, HR, real estate, marketing, healthcare, and many others. I honestly couldn’t even count them all. But in a nutshell, this feature allows you to create multiple documents in a few minutes.

You can also check ‘Featured templates’ or browse the ‘Community Gallery’ for extra choices.

The templates give you a quick head start, and I liked how easy it was to preview and customize them. You can create a blank file, upload your own, or customize one of the ready-made designs. The variety makes it easy to draft common business documents without starting from scratch.

But when I tried to actually send a document, I hit a paywall. Many templates rely on content blocks (like text, images, or pricing tables), which are locked behind the Business plan. Without upgrading, you have to remove those blocks, which limits how useful the templates really are.

Contacts

Adding contacts in PandaDoc is quick and straightforward. You can import them directly from Google, or just click the Contact button to add one manually.

The manual form is simple: first name, last name, email, phone, company, and job title. I liked how fast this option was, since you don’t need to fill out every field at once. Even a single detail is enough, and you can always update the rest later.

For larger teams, PandaDoc also suggests connecting your CRM or using a Zapier integration to avoid manual entry. This makes contact management flexible, whether you’re adding just one recipient or syncing an entire database.

I didn’t hit as many paywalls here as in other sections, which made Contacts one of the smoother parts of the free plan.

Other Features (Locked For Paid Plans)

Some features in PandaDoc were completely unavailable when using the free plan. Catalog and Forms were locked from the start, as was Branding – a feature that was accessible in free trials on almost every other e-signature platform I tested.

Team management also feels limited. My plan showed “1 of 1 seat activated,” meaning I couldn’t add teammates. On platforms like Signable, I was able to invite unlimited users, so the contrast here was noticeable.

And even the sign-up flow highlights these limits. When I registered with a personal email, PandaDoc put me into the Free eSign plan with a banner saying it’s “built for small businesses.” It sounds promising, but in practice, the plan is so restricted that you can barely test the platform.

Honestly, the first thing I noticed about PandaDoc was how good it looks. The whole platform feels polished, clean, and kind of inviting compared to some other tools I’ve tried.

It also delivers on usability, with an intuitive user interface that makes navigation feel effortless even for first-time users.

PandaDoc integrations

PandaDoc does offer a long list of integrations, but most of them sit behind paid plans. On the free version, I only had access to Google Workspace and Stripe. These are helpful, but pretty limited if you want to see how the platform connects with the rest of your workflow.

The full lineup looks impressive, with big names like Salesforce, HubSpot, Pipedrive, Zoho CRM, monday.com, plus payment gateways like PayPal and Square, and collaboration tools like Slack and Microsoft Teams. There’s also Zapier, webhooks, and an API for custom workflows.

Still, it was a bit disappointing not to be able to test these during my trial. On paper, the list is strong, but unless you’re on a paid plan, it feels more like a showcase than something you can actually use.

Now let’s see the pricing plans!

PandaDoc pricing plans

PandaDoc technically offers a free version, but as I mentioned earlier, it’s very limited. To get access to the real features, you’ll need to move into one of the paid plans.

Starter plan

At $19 per user a month when billed annually (or $35 a month on monthly billing), the Starter plan gives you unlimited documents and e-signatures, plus a drag-and-drop editor, templates (up to 5), real-time tracking, and 24/7 chat and email support.

It’s designed for individuals or very small teams who just need a clean way to create and sign contracts. Honestly, it’s fine for the basics, but it feels a bit stripped down if you’re looking for more than simple document workflows.

Business plan

The Business plan is $49 per user a month with an annual plan (or $65 a month on monthly billing) and unlocks the features that make PandaDoc more than just an e-sign tool. You get CRM integrations, content libraries, custom branding, approval workflows, deal rooms, web forms, and bulk send.

This is where the platform starts to feel like a real sales and document automation hub. But at this price point, it’s a noticeable jump from Starter, and not every small business will find the upgrade worth it unless they’re heavily focused on proposals and sales pipelines.

Enterprise plan

Finally, there’s the Enterprise plan with custom per-seat or per-document pricing. It includes everything from Business plus advanced automations, CPQ (configure-price-quote), smart content, SSO, team workspaces, notary support, and API access.

It’s clearly aimed at larger organizations with complex workflows. However, the price is hidden behind “Contact Sales,” which means you can’t easily compare costs unless you’re ready to negotiate with their team.

Per-document pricing

For those who don’t want to commit to seats, PandaDoc also mentions a per-document package. In theory, this gives you unlimited seats, and you only pay for the documents you create. It’s not publicly listed, though, so you’ll need to contact sales for details.

A note on the free trial

PandaDoc advertises a free trial for the Starter plan, and technically, it’s there – no credit card required. However, you can’t sign up with a personal email.

This makes the free trial feel less accessible compared to other e-signature platforms I’ve tested, where you can explore the full product regardless of which email you use. For freelancers or solo users, that barrier is frustrating and makes it harder to evaluate whether PandaDoc is worth paying for.

This plan also comes with a quota of 60 documents per year, which might work for very light use, but doesn’t give you the flexibility to truly explore the platform.

Pros and cons I found during my PandaDoc review

Here are the main pros and cons I noticed during my PandaDoc review.

Pros of PandaDoc

Firstly, the interface looks polished, modern, and is genuinely easy to navigate.

Secondly, the dashboard is customizable, and the ability to organize documents into folders makes managing files much smoother.

Additionally, adding a signature is simple and flexible, with multiple input options to choose from.

Another point worth mentioning is the extra stamps feature, which, while niche, could be useful for companies that rely on official seals or approvals.

Finally, the integrations list looks impressive on paper, covering major CRMs, payment gateways, and collaboration tools, which gives the platform strong potential for larger teams.

Cons of PandaDoc

Firstly, the free version is heavily limited. Even though a Starter trial technically exists, you can’t access it with a personal email.

Secondly, the platform quickly gets expensive. The jump from Starter to Business is steep, and many key features like integrations, branding, and automation are only available at higher tiers.

Testing Signable in everyday use

Using Signable in my workflow was smooth and straightforward. Creating and sending envelopes feels intuitive, and features like templates, Bulk Send, and real-time status tracking save time on repetitive tasks.

I also appreciated the flexibility across plans, with even the PAYG option offering unlimited users, templates, and essential e-signature features.

Overall, Signable is a practical and efficient e-signature tool for freelancers, small businesses, and growing teams who want a simple, reliable solution for managing document signing.

For bigger teams which need more advanced tools, it might be not the the ideal option.

How we arrived at Signable’s final rating

Signable only received 3 out of 5 for the signature & core features due to the lack of signature management. For other features, it gets good ratings, 4 stars on average. However, it performed exceptionally well in legal compliance & audit trail features.

Signable put in solid performance across the other criteria we checked, and lost major points only because of the limited free plan.

Key Features

Now let’s see what its key features are and how they performed during my Signable review.

Dashboard (or lack thereof)

Unlike some other e-signature platforms, Signable doesn’t really have a central dashboard. Instead, when you log in, you’re taken straight to the Envelopes section, where you can track all the documents you’ve created and sent.

While this keeps things simple and uncluttered, it also means you don’t get an immediate overview of your account activity.

For some users, this stripped-down approach might actually feel refreshing, since you get straight to the documents without distractions. But if you’re used to more data-rich dashboards, you may find yourself missing that overview.

That said, Signable does include real-time status tracking and a detailed audit trail for every document, so you’re never left guessing whether something has been opened, viewed, or signed.

Envelopes

Instead of ‘Documents’, Signable calls this section ‘Envelopes’. Each envelope is basically a package that includes the document (or documents), the recipients, and signing instructions.

The overview here is well designed. You can instantly see which documents are signed and unsigned, along with all the key details. To make navigation even easier, Signable uses color coding for different statuses.

On the right-hand side, there’s also a small widget showing how many envelopes you have left. With the free trial, you start with 20 envelopes, which is enough to test the platform before committing.

Creating a new envelope is quick and straightforward, and it only took me a couple of minutes. You start by clicking ‘New Envelope’ in the left sidebar, then upload a document or pick a template. After that, you add recipients and set up fields using the drag-and-drop menu on the right.

I liked that you can use the Preview button in the top right corner to see how everything will look before sending.

The final Summary screen shows all the details, such as document name, recipients, signing sequence, and more. Each section has an Edit link, so you can quickly adjust anything before sending.

Once the envelope is sent, its status updates right away. You can see who it was sent to, whether it’s been signed, and even download field data as a CSV. There’s also an Edit Sharing option, which is handy if you need to update who has access after sending.

For time-sensitive documents, you can set automatic expiry dates and auto-reminders, so recipients don’t forget to complete the signing process. 

Signatures and Initials

Unlike BoldSign or Xodo Sign, Signable doesn’t have a dedicated section where you can pre-create and manage your signatures or initials. Instead, you only get the option to draw, type, or upload your signature when you’re actively filling out a document.

On one hand, this keeps the interface simple as you’re not overwhelmed with setup steps before sending out your first envelope. On the other hand, it can feel limiting if you want to store multiple versions of your signature or set things up in advance.

For casual users, this approach may be fine. But for anyone who regularly signs documents or needs flexibility, the lack of a signature management feature is definitely a drawback compared to other e-signature platforms.

That said, the signing process itself is smooth and fully optimized for mobile devices. There’s also an embedded signing option, which lets you integrate the signing page directly into your app or website.

Templates

Templates are one of the most useful features in Signable. You can access it from the left sidebar, and create a template by clicking ‘New Template’ button in the top right corner. From there, you just upload a document, and start editing.

You can drag and drop fields like text, date, signature, or checkbox, and customize each one by changing the font, making it required, or assigning a Prefill Type.

The Prefill Type option is especially handy. It lets you add text boxes to a template and fill them out before sending, so your clients receive documents with key details already included. This saves time and reduces back-and-forth.

Another neat feature is the ability to create a Widget. You can embed it directly on your website using a snippet of code, or share a direct URL. When someone signs through the widget, they confirm their identity via email, and the document is signed automatically.

If you want to streamline this process even further, Signable supports field tags. They allow you to add special codes to your document before uploading, and the system automatically places fields where they belong.

Bulk Send

Bulk Send is another very practical feature which is available even on the free trial. When I tested BoldSign, this option was locked, so it was nice to see it accessible here.

With Bulk Send, you can deliver envelopes to multiple recipients at once, instead of sending them one by one.

The process is fully guided, which makes it easy to follow. First, you set the signing sequence: everyone can receive the envelope at the same time, or you can arrange a specific order so it moves from one recipient to the next. You can also set auto-reminders and define an expiration date.

To upload recipient data, Signable provides a ready-made CSV template. You simply add your details into the file, re-upload it, and the system prepares everything for bulk sending. It’s a straightforward workflow that can save a lot of time if you regularly send documents to larger groups.

Contacts

Adding a new contact in Signable couldn’t be simpler as you only need a name and email address. This feature might seem basic, but it saves time when setting up new envelopes, since you don’t have to re-enter details for frequent recipients.

Over time, having all your contacts stored in one place makes managing documents much smoother.

Branding

Signable lets you customize branding even during the free trial. You can upload your company logo, set brand colors, and make sure the signing experience looks consistent with your identity.

There’s also a preview for emails and confirmation pages, so you know exactly how clients will see them.

For more advanced customization, you can override the default email templates. This means you can tailor notifications like signature requests, reminders, or confirmations to match your brand voice. It’s a small but powerful feature if you want a fully white-labeled experience.

Team management

In the left sidebar, under Users & Teams, you can add people to your account and decide which envelopes and templates they can use or edit. It’s a simple way to share work while keeping control over who has access to what.

I found this helpful for collaboration, since team members can prepare, review, or send documents based on their role. You can try it during the free trial, but after that it’s only available on the Medium plan or higher. For growing businesses, that upgrade could be worth considering.

It’s worth mentioning that Signable allows you to add unlimited users, and you can assign different roles to each, which makes permission management a lot smoother.

Because of this simplicity, the learning curve is practically nonexistent, so even first-time users will feel comfortable navigating the platform right away.

Signable offers a solid range of integrations, including popular tools like Slack, Google Drive, Google Docs, Dropbox, HubSpot, and Make. You can also connect it with Zapier, which gives you access to an additional 7000+ third-party apps.

Beyond the big names, Signable provides industry-specific integrations for education (ProSolution), accounting (My Digital), and real estate (SME Professional).

PAYG (Pay as you go)

The pay as you go service is perfect for small businesses who only need to send a few envelopes each month. There’s no subscription required and it costs £1.50 per envelope, so you only pay for what you use.

Even on this plan, you get unlimited users and templates, advanced electronic signatures (AES), digital signing, and two-factor authentication for signers.

Small plan

This plan includes everything from PAYG plan, plus the ability to add your branding and access to the API. It comes with 50 envelopes per month, so It’s a good option for micro businesses or freelancers who send documents regularly.

The Small plan is £29 per month. Alternatively, with annual billing, you can get it for £319 per year.

Medium plan

With Medium plan, you get 150 envelopes per month, plus team collaboration tools, API access, and bulk sending capabilities. It costs £69 per month, or £759 per year with annual billing.

This plan is suitable for small to medium-sized businesses that require more control over their workflows.

Large plan

Designed for growing businesses, the Large Plan costs £169 per month, or £1859 per year with annual billing.

It includes 400 envelopes per month, concierge onboarding, IP allowlisting, and a dedicated account manager to help streamline document workflows.

Furthermore, the 14-day free trial includes 20 envelopes and doesn’t require a credit card, giving you plenty of opportunity to test the platform thoroughly.

In addition, Bulk Send is available even during the free trial, unlike some competitors that lock this feature behind paid plans.

Finally, unlimited users are included across all plans, so you can add as many team members as needed without extra user fees.

Cons of Signable

The main drawback I noticed is that there’s no central dashboard. While some users might appreciate being taken straight to their envelopes, I personally missed having a comprehensive overview of my account activity.

BoldSign is an electronic signature platform developed by Syncfusion and launched in 2021. It’s designed to help individuals, small businesses, and enterprises streamline the way they prepare, send, and sign documents online.

With features like reusable templates, branding, team management, and even an API for custom integrations, BoldSign aims to cover both simple and advanced document workflows.

What makes it stand out is its balance between being beginner-friendly while still offering enterprise-level functionality. In short, it’s a tool built to simplify e-signatures without overwhelming users.

How BoldSign performed in my daily workflow

Using BoldSign for my own workflow has been a smooth experience.

Preparing and sending documents feels intuitive, and features like templates, contacts, and team management really save time on repetitive tasks. I also liked the branding options, which make emails and signing pages look polished and professional.

Overall, BoldSign is a practical and efficient e-signature tool for freelancers, small businesses, or anyone who wants to keep document signing simple and organized.

Dashboard

BoldSign offers a clean and straightforward dashboard that gives you a quick overview of your document activity. You can instantly see which files are waiting for you, waiting for others, or need attention, along with a summary of recently completed, revoked, or declined documents.

The layout is simple, not overloaded with data, so you can focus on the essentials without distraction.

That said, one thing I found missing here is direct access to your signature and initials. You need to click on your profile icon → My Profile → Profile Details and scroll all the way down to find the option.

For me, this felt a bit unintuitive, especially for new users. Once you know where it is, it’s fine, but I think it would be much more user-friendly if BoldSign placed this option front and center on the dashboard.

Add signature

As I mentioned earlier, it takes a few extra clicks to actually get to the signature settings in BoldSign. Once you reach the ‘Manage Signature/Initials’ section, though, the process itself is smooth and straightforward.

You can either choose from pre-made styles, draw your own signature and even change its color, or upload an image file in PNG, BMP, or JPG format. The whole process takes only a few minutes, and once it’s done, you are ready to sign documents.

One limitation is that BoldSign only allows you to save one version of your signature and initials at a time. So if you often switch between different versions, you’ll need to manually replace it whenever you want to use another style.

Another small drawback I noticed is that the signature window in BoldSign feels a bit cramped. The signing box is small, and during testing, it even lagged slightly, which made the overall experience feel less refined.

Overall, the setup is quick and works fine, but the single-version restriction and the extra steps required to access the feature could feel inconvenient for some users.

Sign documents

I was very satisfied with how BoldSign handles the document signing process.

Under the Documents tab in the left sidebar, you’ll find options like ‘My Documents’ and ‘Team Documents’, which give you a clear overview of everything you’re working on.

Documents can be filtered into categories such as waiting for me, waiting for others, needs attention, completed, declined, or expired. Each file also comes with handy actions like adding tags, downloading, cloning, or exporting form data.

In the top right corner, there’s a ‘New Document’ button that opens the ‘Prepare Documents for Signing’ section with a single click.

This part really stood out to me for its clarity and ease of use. First, you upload a file either from your computer, cloud storage, or from existing templates. Then, in the next step, you move on to ‘Configure Fields’.

This section is highly intuitive. You simply drag and drop fields from the left sidebar onto your document, while the right sidebar provides additional editing and customization options. I especially liked how seamless it felt to prepare documents this way.

Before finalizing, you can use the ‘Preview’ option to double-check everything, and then click ‘Finish Signing’ to complete the process. The signed document is sent by email right away.

Templates

The Templates feature is another strong point I identified in the course of my BoldSign review.

By clicking on ‘Templates’ in the left sidebar, you get a clean overview of all available templates. Each one comes with its own set of actions that can be accessed with a single click, making it easy to edit, clone, share, or export.

Creating a new template is just as straightforward. In the top right corner, the ‘New Template’ button opens an interface very similar to the document creation flow. You can import a file from your computer, pull it from the cloud, or base it on an existing template.

From there, you can assign roles, add a document title, and configure additional options, just like when preparing a new document for signing.

Overall, the feature worked really well for me. It’s simple to set up, intuitive to use, and definitely saves time if you often send out the same type of documents. I found it very practical and it fit my workflow perfectly.

Bulk links/Bulk send

Unfortunately, I wasn’t able to properly test either Bulk Send or Bulk Links. Even though I was on the Business plan (free trial), it showed that I didn’t have access to them. According to BoldSign’s pricing page, both features are available as add-ons, billed at $0.25 per document.

This was a bit frustrating. Both features sound useful in theory, since they let you send one document to many recipients at once or generate a shareable link instead of manually adding signers. But I couldn’t verify how well they work in practice.

For small businesses, though, I’m not sure these tools would make a huge difference. They seem more designed for larger companies that need to send contracts or policies to many people at once.

If you only deal with a handful of clients or documents, the standard document workflow in BoldSign will probably be enough without paying extra for these add-ons.

Team management

I think for businesses, this feature can be very valuable. It allows you to add multiple team members under one account, assign them roles, and manage their permissions.

This way, different people in your organization can prepare, review, or sign documents depending on their responsibilities. Having everything centralized makes collaboration smoother and keeps document management organized.

Contacts

The Contacts feature allows you to add recipients directly within the app. This makes sending documents much smoother. Such contacts can include employees, clients, vendors, and more, so it works well for both personal and business use.

You can access your contacts from the left sidebar. Creating a new contact is straightforward: just click the “add new contact” icon in the top-right corner, fill in some basic information like name and email, and your contact is ready to use.

Once saved, you can quickly select contacts when sending documents, without typing their emails each time.

API (Application Programming Interface)

BoldSign offers API access for users who want to integrate its e-signature features directly into their own software, website, or applications.

This allows you to automate document workflows, such as sending documents for signature, checking signing status, or retrieving signed files, without opening the BoldSign app.

The API is especially useful for businesses that handle a high volume of documents or want to streamline internal processes.

Branding

BoldSign’s Branding feature is very useful for customizing the look of your emails and document signing pages. You can apply your brand colors, logos, and more. It even lets you set up multiple brands, so you can send contracts under different branding from the same account.

Creating a new brand is very straightforward. Just go to the left sidebar and click ‘Settings’ and then ‘create new brand’ icon to open a window with all the options. You can define the brand name, upload a logo, customize email and signer pages, choose colors, and more.

A preview panel on the right shows how emails and signer pages will look on both desktop and mobile, which makes it easy to see exactly how your branding will appear before sending.

BoldSign user interface

BoldSign has a clean interface. The left sidebar provides easy access to all key features, including Documents, Templates, Contacts, and Settings.

Creating, preparing, and sending documents feels intuitive thanks to clear buttons, drag-and-drop fields, and a consistent layout. The preview panels for both documents and emails help ensure everything looks right before sending, which adds to the overall user confidence.

One small drawback is that some options, like managing signatures, require a few extra clicks. While it’s not a major issue, it might slightly slow down new users until they get familiar with the layout.

BoldSign integrations

BoldSign integrates with Xero, Google Drive, OneDrive, and Dropbox. While these integrations cover essential cloud storage and business tools, they are somewhat limited compared to other e-signature platforms. However, for standard document signing and storage needs, they are usually enough.

There’s also an option to enable WhatsApp as a delivery method, so you can send documents for signature directly through the app. Keep in mind that WhatsApp is billed as an add-on at $0.10 per message.

Growth plan

The Growth plan increases the limit to 50 signature requests and 10 templates per user, and adds multiple custom brands, template sharing, dynamic field placement, cloud integrations, in-person signing, and team management.

It costs $5 per month per user when billed annually, or $15 per month per user with monthly billing. This plan is ideal for small to mid-size businesses that want more collaboration and workflow control.

Business plan

The Business plan is designed for larger organizations and offers unlimited signature requests and templates. Annual billing is $15 per month per user, or alternatively, $25 per month per user with monthly billing.

It includes advanced features such as signing groups, Single Sign-On, AI-powered field detection, HIPAA compliance, custom roles, and dedicated account support. Optional add-ons include bulk links, SMS authentication, ID verification, and WhatsApp signature requests.

Premium plan

The Premium plan is built for enterprises with unlimited users and higher document limits, including three thousand documents, with additional documents billed at $0.5 each. This plan includes all Business plan features, multiple custom brands, and every available add-on.

You can get it for $99 per month with the annual billing. The monthly billing is $138 per month.

Pros and cons I found during my BoldSign review

Here’s an honest look at the pros and drawbacks I noticed while using BoldSign.

Pros of BoldSign

Firstly, BoldSign has a clean and simple interface, making it easy to navigate and keep track of your documents.

Secondly, its document preparation tools make signing and sending documents very efficient.

In addition, team management features let you assign roles and manage permissions, which is very helpful for businesses.

Furthermore, it offers a free Essentials plan, which is enough for basic needs, and all other pricing plans come with a one-month trial without requiring credit card details.

Finally, the pricing is reasonable, starting at $5 per user per month with annual billing, which makes it a good value for the features offered.

Cons of BoldSign

The only real drawback I found is that BoldSign only allows one saved signature and set of initials, which can be limiting if you want to use multiple styles like DocuSign or Xodo Sign allows.

Even though BoldSign is still new compared to big names like DocuSign, I was surprised by how well it holds its ground. It’s easy to use, has everything you really need for handling signatures, and the pricing is much more budget-friendly.

For freelancers or small businesses, the free Essentials plan and the full month of free trial time are a big plus. Sure, DocuSign still feels more polished and comes with a long list of integrations, but for most day-to-day needs, BoldSign gets the job done without draining your budget.

What is Docusign?

Docusign is one of the most well-known e-signature platforms in the world. It was founded in San Francisco back in 2003, which makes it one of the pioneers in digital signing.

Over the years, it has grown into a global company with millions of users and a strong presence in both small businesses and large enterprises.

Because it complies with major regulations, Docusign signatures are legally binding in most parts of the world. That’s one of the reasons why it’s trusted by so many companies and considered a safe choice for important agreements.

Testing Docusign in everyday use

For me, getting started with Docusign was straightforward. The Home screen really helped here, since all the basics were right in front of me.

I don’t think anyone would have trouble finding their way around, and the learning curve for the basics is almost nonexistent.

What bothered me was that Bulk Send and PowerForms weren’t available in the trial, which would be useful for you to try before committing.

The envelope caps in the paid plans also look limiting if you send more than just a handful of documents. Still, in my day-to-day use, Docusign felt stable, reliable, and easy enough to handle.

There were some features that were outstanding, and we did not see that the negative comments are justified from a feature-wise perspective.

However, when it comes to pricing, I found that it is overpriced, and some of the complaints are true.

Why Docusign scored 4.2 out of 5

Docusign offers a massive feature set ideal for enterprise use cases as well. That said, we had a positive experience with Docusign during testing and earned almost the maximum points for this main criterion.

Nonetheless, where Docusign lost most of the scores is in its pricing and free plan. It has overpriced (2.5/5) paid plans compared to other alternatives, and the free plan (3/5) is also limited.

Best use cases for Docusign

When Docusign is not the right choice

Key features

Let’s see what features I used in the course of my Docusign review!

Home screen

When you log into Docusign, the first thing you see is the Home screen.

From here, you can instantly create your signature and initials. Unlike some e-sign platforms where this option is buried in settings, Docusign puts it on the Home screen, right in front of you. All it takes is one click on ‘Create Your Signature’.

The platform gives you several ways to set it up: choose from a dozen pre-generated styles with initials, draw your own, or upload an image. Once you create it, you can always change it later the same way. The only limitation is that Docusign allows just one signature and one set of initials per account.

The Home screen also lets you start a new document directly, either from scratch or by using a template. In Docusign terms, every document you send is called an envelope. It can contain one or more documents, plus all the information about recipients and signing actions.

Besides that, Home gives you a quick status overview: Action Required, Waiting for Others, Expiring Soon, Completed, and even a glimpse of your agreement activity. In short, everything you need to stay on top of your documents is right there on a single screen, which makes navigation straightforward.

Dashboard

While the Home screen gives you a quick overview, the real dashboard is under the Reports section. Docusign actually has two: My Dashboard and Admin Dashboard. Both give you more detail than the Home screen.

You can track envelope history, see how many contracts are completed or still pending, and even check activity trends over time. The Admin Dashboard goes a step further, offering team-wide insights so managers can see how documents are moving across the whole organization.

Compared to the Home screen, these dashboards feel more data-driven. They’re not the most visually flashy ones I’ve seen, but they do the job well and give you all the stats you need in one place.

Agreements

The Agreements tab is where all your documents (or ‘envelopes’, in Docusign terms) are stored. They’re divided into Drafts, In Progress, Completed, and Deleted, so it’s easy to see where each one stands.

There’s also a Folders option, which is handy if you’re managing lots of contracts. Filters and advanced search make it even easier to find what you need.

Docusign offers an audit trail for your documents, which is a detailed, court-admissible record of all activities related to a transaction, including who accessed a document, who signed it, when it was signed, and any modifications made.

What I missed, though, was access to Power Forms and Bulk Send during my trial. Both features seem really practical, but since they were locked, I was unable to try them out. On some other e-sign platforms I tested, Bulk Send was available even in free trials, so it felt a bit limiting here.

Creating envelopes

Creating an envelope happens in the Agreements tab as well. You can upload one or more files at once, add recipients, set the signing order, and customize the email subject and message. The process is very straightforward and doesn’t take long to set up.

Once the document is uploaded, you enter the editing window.

You can’t change the actual text of the file, but that’s pretty standard for most e-sign platforms. I discovered that during my Docusign review unlike tools such as Xodo Sign, which comes with a built-in PDF editor, Docusign doesn’t let you change the text directly inside the document.

What you can do, though, is add a wide range of fields using drag-and-drop, such as signature, date, stamp, and more. There are custom fields with options like formatting, validation, or character limits, and even pre-fill tools. Every field can be further customized.

Before sending, you can preview how the document will look on a desktop, tablet, or phone, which is a nice touch. Additionally, when you click on the download icon or button, you can choose whether to download the document as a single PDF or as separate files in a ZIP archive.

Once everything’s ready, you just click Send and the envelope goes out.

Templates

Creating a template in Docusign feels a lot like creating an envelope. You can find this feature under the “templates” page in the top toolbar.

You can start from scratch, upload an existing file, and then add recipients and fields the same way you would with a document. So, it’s pretty straightforward.

When that step is done, the editing window pops up. This one looks different from the envelope editor, but you can switch back to the classic view by clicking a button at the bottom of the screen.

What really caught my eye here were the workflow templates. These are ready-made setups that connect with tools you might already use and automate specific processes.

For example, there are templates for financial services, healthcare, sales, HR, and even tax forms, many of them already connected with tools like Salesforce, HubSpot, Box, or Google Drive.

While most e-sign platforms let you build your own workflows, I haven’t seen ready-made industry templates like this. It makes templates in Docusign more powerful and useful if you deal with repetitive tasks across different apps.

Contacts

Docusign comes with a built-in contacts list, which saves everyone you’ve ever added as a recipient. The next time you start an envelope, their name and email will pop up automatically, so you don’t have to type everything again.

This feature isn’t obvious at first, but adding contacts is still simple. While creating an envelope, you can open your contact list by clicking the small icon next to the recipient’s name.

To manually add a new contact, though, you need to go into your profile settings → My Preferences → Contacts → Add Contact.

You can also edit details, remove old entries, or even bulk import contacts via CSV in some plans.

Team management

Docusign includes team management features that let admins control how the platform is used across an organization.

You can add or remove users, assign roles, and manage permissions to decide who has access to what. It’s also possible to group users together and set shared rules, which makes sense for larger teams that need more structure.

It’s not something freelancers or small businesses will use much, but for bigger organizations, having built-in user and permission management is a big plus.

Reports

I already touched on this feature earlier when talking about the dashboard, but the Reports section goes way beyond that. Docusign has a surprisingly wide range of report types, much more detailed than what I’ve seen in most other e-signature platforms.

You can track envelopes by status, completion time, or authentication, dive into recipient activity, and even see usage broken down by users, groups, or templates. It feels less like a simple log and more like a full analytics tool. Compared to the very basic stats in most e-sign tools I’ve tested, this is on another level.

This level of detail is especially valuable for larger teams and regulated industries that need strict oversight, while smaller users will probably find the basics more than enough.

Other features

Docusign also comes with a few extra touches.

One of them is Branding, which lets you add your company logo and colors so documents look more professional. I think this is a handy feature, but it wasn’t available in my plan, which felt a bit limiting. On some other e-sign platforms I tested, branding was included in the free trial, so I expected to see it here as well.

There are also Stamps, a feature not every e-sign platform offers. You can place digital stamps on documents much like you would with a physical stamp, which can be useful for businesses or industries where stamping is part of the process.

Finally, I liked the Reminders & notifications. Instead of chasing people manually, Docusign automatically sends reminders to signers and notifies you of status updates. It’s a small thing, but it saves time.

Docusign user interface

I’ve seen many users criticize Docusign’s interface, but personally, I find it pleasing. It’s easy to navigate, even for someone using this kind of software for the first time.

The Home screen gives you direct access to the essentials, so everything important is right in front of you. When you need more detail, the dashboards come in handy, offering deeper insights into document status and activity.

The overall design isn’t flashy like PandaDoc’s polished UI, but it’s functional and straightforward. At the end of the day, practicality matters more than looks.

Docusign integrations

Docusign supports a wide range of integrations with popular business tools, which makes it easier to fit into existing workflows. You can connect it with apps like Google Drive, Box, Dropbox, and OneDrive to store and manage signed documents directly in the cloud.

There are also integrations with Microsoft 365 and Google Workspace for sending and signing without leaving the apps you already use.

On top of that, Docusign has strong ties with CRM and sales platforms such as Salesforce, HubSpot, and Zoho, as well as tools like Slack.

These connections make it possible to automate document flows across departments. For teams that need even more customization, the platform also offers an API, so businesses can build custom integrations tailored to their own systems.

Docusign pricing plans

Now, it’s time to see the pricing I discovered during my Docusign review!

Personal plan

The Personal plan is $10 per month if you pay annually, or $15 if you go month to month. It’s for one user only and lets you send 5 envelopes each month. Good enough if you mostly work on your own and just need to send a few documents here and there.

Standard plan

The Standard plan is priced at $25 per user each month with an annual subscription, or $45 with monthly billing. It raises the allowance to 10 envelopes per user per month (or 100 per year), and adds features like shared templates and team commenting.

This is the plan small teams usually start with if they want to collaborate on documents without going overboard.

Business Pro plan

This plan adds the more advanced stuff, things like requesting attachments, building conditional fields, mobile-friendly web forms, collecting payments, and sending to multiple recipients at once.

Pros of Docusign

First, I liked how easy it was to get started. The Home screen puts all the basics in front of you, so creating a signature and sending a document takes just a few minutes.

Secondly, Docusign feels very reliable and stable. Even though the design isn’t flashy, everything works smoothly and without unexpected issues.

Another strong point is the wide range of integrations.

I also appreciated the detailed reporting tools, which go far beyond the simple stats many competitors offer.

Finally, the ready-made workflow templates stand out. Having industry-specific setups for HR, finance, or healthcare can save a lot of time compared to building everything from scratch.

Cons of Docusign

The biggest drawback is pricing. Docusign is more expensive than many competitors, and the envelope caps in paid plans feel restrictive if you send documents regularly. However, Docusign offers a 30-day free trial, which is enough to test the platform before committing.

Furthermore, after reviewing some user reports, there were numerous complaints about not being able to cancel or change the pricing plans.

While working on this SignWell review, my overall experience was mostly positive, but I did run into one limitation right away: there is no free trial for paid plans, and the free plan is pretty restricted, making it hard to properly test the platform.

Dashboard

SignWell doesn’t have a traditional dashboard. Instead, the home screen opens on the Documents tab, which serves as the central hub for managing your files. Unlike some other platforms that display a highly visual dashboard, SignWell keeps things minimal.

The home screen is essentially a clean list of your documents, showing the title, status, and date. Navigation is straightforward: the top menu lets you quickly switch between Documents, Templates, Bulk Sending, and Contacts.

Personally, I like this stripped-down approach because it makes navigation straightforward, even for someone using an e-signature tool for the first time. In that sense, the dashboard reflects SignWell’s core promise of a simplified signing process – and it really does feel simplified in practice.

Electronic signatures & document management

Uploading a document in SignWell is quick and easy. The Documents tab doubles as your home screen, so the ‘New Document’ button is right there as soon as you log in.

You can upload one or several files at once, or just pick a template if you want to skip the setup. After that, you assign who needs to sign, and the editor opens right away. The editor isn’t overloaded with options; you just drag in what you need: signatures, dates, text fields, and checkboxes.

In SignWell, you don’t see a signature option on the home screen or in a separate ‘Manage Signature’ section like in some other tools. Instead, you get to it once you’re inside the editor. You can either upload an existing signature, type one using different font styles, or draw it – fairly standard options.

Once the fields are in place hit Send and you’re done.

The only thing missing here is a preview option before sending. I didn’t mind, but if you’re the type who likes to double-check every detail, you might notice its absence.

Templates

SignWell lets you save a document as a template before sending it, or you can create one directly from the Templates tab by uploading a file.

After uploading, you add placeholder recipients (essentially defining what type of people will need to complete the document). From there, the same drag-and-drop editor opens, letting you add fields like signatures, dates, or checkboxes.

Once you’re done, you can set reminders, choose the recipient’s language, or even redirect signers to a custom page after completion. This makes templates flexible, especially if you reuse the same contracts or forms often.

One limitation, though, is that SignWell doesn’t provide any pre-built templates to get you started. While creating your own is simple enough, having a library of ready-made options would make the feature more useful right out of the box.

Also, keep in mind that the free plan allows for only one template.

Bulk sending

Bulk Send is one of SignWell’s more advanced features, but it’s not available on the free plan. It’s designed for cases where you need to send the same document (or even multiple documents) to a larger group of recipients at once.

The process is smooth: you select the document(s), upload a CSV file with recipient details, and SignWell even provides a sample CSV template you can download, which makes it much easier for first-time users.

Before sending, you get a preview of all recipients, you can also add a custom message to go along with the documents, and you can apply a signing order. A nice touch is that recipients can still be removed even after the document has been sent, giving you a bit of flexibility in case of mistakes.

Contacts

To add a contact in SignWell, all you need is an email, and you can always add more details later if needed.

It’s also good to see that SignWell includes an option to bulk import contacts via CSV, since not every e-signature tool offers it. For anyone who already has a contact list stored elsewhere, this can save time compared to adding contacts manually.

Team management

SignWell makes it easy to collaborate by allowing you to add multiple users to your account and assign them different roles, such as Admin, Manager, or Member. These roles come with varying levels of permissions, so you can control who manages what.

Users can also be grouped into different teams, which helps keep responsibilities clear. On top of that, the ability to switch between workspaces gives teams another layer of organization, making it easier to separate workflows and avoid overlap.

SignWell lets you customize the look and feel of your documents with simple branding options. You can upload your company logo, define the ‘From’ email field, and add a custom email signature that will appear in outgoing messages and on recipient pages.

The setup is simple and works smoothly, so it’s incredibly easy to add a professional touch without spending much time adjusting details. While the customization options are limited compared to enterprise-level tools, they cover the essentials most small businesses need.

When I reached out with a question about testing advanced features, I got a quick response and was given a short Business plan trial so I could explore everything. That kind of fast, human-centered support is rare in this space and backs up their 98% satisfaction claim.

Subnoto is a privacy-first e-signature platform designed to let individuals and businesses sign documents without exposing sensitive data.

Unlike traditional e-signature tools, Subnoto is built on a zero-knowledge architecture, meaning that even the platform itself cannot access or read your documents.

By using confidential computing and secure enclaves, it keeps files encrypted not only in storage and transit, but also during the signing process, which is something most competitors don’t offer.

Launched only last year, Subnoto positions itself as a next-generation alternative to tools like DocuSign or PandaDoc. Its core mission is to eliminate the need to trust the platform with your data.

This is what makes it appealing for companies handling sensitive information, such as legal teams, HR departments, and security-conscious startups.

Testing Subnoto in everyday use

In short, I had a great experience with Subnoto.

What immediately stands out is its focus on privacy and security. It genuinely feels like a different approach compared to most e-signature tools. And this is something I missed from the e-signature market before Subnoto.

However, I noticed some small limitations, like no bulk upload and only one saved signature.

In the end, Subnoto is a promising, simple, security-first tool with a solid foundation, and can be an excellent choice for businesses that need a safe e-signature app.

The reasoning behind Subnoto’s score

While Subnoto offers solid signing (4/5) and legal compliance workflows (4.5/5), it received only 3.5 out of 5 for integrations and automation.

When evaluating other criteria such as user interface, pricing, and security, Subnoto outperformed most of the other e-signature apps we have tested.

Let’s start with its most distinctive feature.

Security & privacy

Subnoto genuinely uses confidential computing and trusted execution environments (TEEs) to keep documents encrypted even while they’re being processed. It also claims a zero-knowledge architecture, meaning not even the platform itself can read your files.

These are real technical differences compared to many competitors, and they’re clearly explained on its website and blog.

In practice, this approach closes the typical “data in use” gap that most platforms leave exposed, since documents remain encrypted during processing. That’s a meaningful advantage, especially for sensitive data. Subnoto is also GDPR-friendly, with data hosted in France and a design aligned with European privacy standards.

That said, calling it “the world’s most secure e-signature tool” is a big claim. While the architecture is impressive, Subnoto is still new. It doesn’t yet have the same track record, certifications, or third-party audits as bigger players. So while it’s clearly one of the most privacy-focused tools out there right now, the “most secure in the world” part has yet to be fully proven.

Beyond its strong focus on privacy, Subnoto also offers standard e-signature features.

Dashboard

Subnoto’s dashboard is clean and easy to navigate. Right away, you get a clear overview of your documents, including those waiting for your signature and those currently in progress. It also gives you quick access to key sections like Workspaces, Members, SSO, and Roles and Permissions.

At the top of the page, there’s a simple upload area where you can drag and drop DOCX or PDF files, or upload them from your device or Google Drive. The upload process itself is fast.

However, one thing I missed is the proper bulk upload support. While you can select multiple files at once, only one file actually gets uploaded. This will slow things down if you’re working with multiple documents. That said, the Subnoto team mentioned that this feature is planned, so it may be improved in future updates.

Add signature

The option to create your signature is located under Settings → Profile, which isn’t the most obvious placement at first. Once you find it, the setup is straightforward and includes the three standard options: type, draw, or upload your signature.

If you choose to type your signature, you can select between four fonts – Elegant, Professional, Modern, and Handwriting. I appreciated that all fonts support diacritical marks, and I’m sure international users whose names include non-English characters, like mine, will appreciate this too.

The only limitation is that you can only save one signature, with no option to create initials or add a stamp. Nevertheless, the whole process felt straightforward and required a short learning curve.

Preparing documents

All your documents are organized under the Documents tab in the left sidebar. They’re neatly categorized by status and by tags. There are also filtering options that make it easy to find specific documents, especially if you’re working with a larger volume. You can switch between list and card view, which adds a bit of flexibility, but overall, the layout is clean and easy to navigate.

Just like on the dashboard, you can upload a document from the top of the page. After uploading, the first step is to add one or more signers. Once that’s done, you’re taken to the document editor.

The available fields (like signature, date, name, text, dropdown, and radio buttons) appear after you click on a signer’s name. From there, you can drag and drop them onto the document. Subnoto covers all the core fields you’d expect from most e-signature tools, which is more than enough for a simple app that handles the majority of common use cases.

That said, for more advanced scenarios, some users may notice the lack of features like reusable or more configurable fields, as well as more specialized options such as file upload (collect files), billing-related inputs, or formula/calculation fields.

When you place a field, a settings panel appears on the right, allowing you to adjust it. This sidebar also includes additional options like automatically adding initials to every page, assigning tags, and attaching extra files for recipients.

Once your document is ready, you can preview it before sending. In this step, you can edit the document title, manage signers, set the signing order, configure reminders and expiration dates, and write a custom email message. You can also preview how the email will look for each signer. After that, the document is ready to be sent.

Templates

If you often send the same document for signing, Subnoto lets you save it as a template. However, there are no pre-built templates, so you have to create everything from scratch. This includes uploading the document, adding recipients, and placing all the necessary fields (blocks) manually.

When creating a template, you also assign labels to recipients (for example, “customer” or “manager”) and connect fields to those roles. Once everything is set up, the template stores the full structure of your document, including recipient roles and field positions.

One useful aspect is that templates can be used programmatically via the API. Instead of recreating the same document over and over, you can generate new envelopes by mapping those predefined labels to actual recipients and sending them in just a few steps.

That said, templates must be fully configured in advance, and their structure can’t be modified later through the API, meaning you’re simply reusing what you’ve already built.

Contacts

To add a new contact, you only need an email address, first name, and last name. You can add other details later.

You can also import contacts via CSV if you already have an existing list. On the other hand, Subnoto allows you to export your current contacts as well.

Team management

Subnoto organizes users into Workspaces, where you can invite team members and manage access. You can assign roles and permissions, thus controlling who can view, edit, or send documents.

There’s also support for SSO and workspace-level API access for larger teams and integrations. Overall, the setup is simple and covers the basics, but it doesn’t go much deeper than standard team management features.

Reports & Audit Logs

Subnoto doesn’t offer a traditional “Reports” feature with dashboards or scheduled exports. Instead, it focuses on audit logs and activity tracking. For every document, you can see who signed it, when, and what actions were taken. Once a document is completed, you can also download it with a tamper-proof audit trail that is useful for legal and compliance purposes.

In addition, Subnoto provides envelope logs and team logs, which give you an overview of document activity and team-level actions. These pages also allow you to export data when needed, so they can be very useful for basic reporting and tracking.

For more advanced reporting, Subnoto relies on its API and webhooks. This means you can track events and build custom reports externally, but there’s no built-in reporting system inside the app.

Overall, it covers the essentials for tracking and compliance, but is limited if you’re looking for detailed analytics or ready-made reports.

User interface

Subnoto’s user interface is clean, minimal, and visually well-designed.

However, I noticed a few minor discoverability and expectation gaps. It wasn’t immediately intuitive that fields only appear after clicking on a signer’s name. The bulk upload behavior was also a bit misleading, since selecting multiple files still results in only one being uploaded.

That said, these are really the only things I can point out, and they’re quite minor overall.

Integrations

Subnoto offers a full API and SDKs, allowing you to automate document workflows, create envelopes, and embed signing into your own apps. It also supports webhooks, so you can track events like when a document is signed or completed in real time

At the same time, integrations are more developer-focused than plug-and-play. While there are some ready connections and cloud upload options (like Google Drive), most of the real power comes from using the API, which may not be ideal for non-technical users.

Subnoto pricing plans

Subnoto offers a free plan and three paid tiers.

The Free plan is quite generous. It includes 10 signatures per month, one editor account, unlimited viewer accounts, SSO, and audit logs. This makes it a solid option for individuals or small teams just getting started.

The Solo plan, at €5/month, increases the limit to 20 signatures per month and adds features like SMS authentication and custom branding, while still keeping things lightweight with one editor account.

The Pro plan, at €19/month, is where things become more scalable. It includes unlimited signatures, webhook notifications, API access (with 10 credits per month), MCP (AI integration), and custom team branding. This plan is clearly aimed at teams and more advanced use cases.

Finally, the Ultimate plan, at €119/month, is built for enterprise use. It offers unlimited users, unlimited signatures, and extended audit log retention, along with all Pro features.

The platform continues to expand its features, including tools like an AI Assistant, while focusing on practical document editing, signing documents, and collaboration in a user-friendly environment.

DocHub is SOC 2 Type II compliant, ensuring it meets high security standards. Also, it encrypts all data with 256-bit SSL encryption, making it highly secure against unauthorized access.

My honest experience with DocHub

Overall, during my testing of DocHub, I found the core signing experience smooth and reliable. Uploading, preparing, and sending documents felt straightforward, and features like the QR code signature option and AI Assistant genuinely improved my workflow.

I also really liked the Gmail and Google Drive add-ons, because they genuinely made my workflow easier and saved me time by allowing me to open, edit, and sign files directly from my inbox or Drive.

That said, there’s still room for growth.

The PDF editor works more like an annotation-style tool rather than a full-featured PDF editor, and the platform would feel more complete with broader third-party integrations, such as Zapier, as well as a built-in library of ready-to-use templates or forms.

Those additions would make it stronger for more advanced or high-volume workflows.

Breaking down DocHub’s final score

DocHub delivered an okay level in terms of features. While it gets only 3.5 out of 5 for integrations, as some crucial integrations are missing, like Zapier, it performs well in document management.

Where DocHub stands out from other e-sign apps is its pricing. Both the free and paid plans offer an excellent value, and you can get the paid subscription for a budget-friendly price.

Dashboard

At first glance, DocHub seems clean and very well-organized. While many e-signature tools use a simple document list as their homepage, DocHub offers a structured dashboard that provides a clearer overview of everything in one place.

It shows all documents along with a complete activity log for each one, so it’s easy to track progress and see what has happened at any stage. If you’re working with multiple contracts at the same time, this level of visibility is genuinely helpful.

And if you’re working with a large volume of documents, you can use filters and labels to make navigation much faster. There is also a search bar that lets you find documents by title or associated email address, which adds another layer of convenience.

Beyond the main dashboard, DocHub separates documents into additional tabs. The Documents tab displays uploaded files that have not yet been prepared or sent for signature.

The Inbox tab contains documents that require your attention, such as files waiting for your signature or action. It clearly highlights items that need immediate response, so you can prioritize tasks.

The Sent tab, on the other hand, shows documents you have already sent out for signature. From here, you can monitor their status, see whether they are in progress, completed, or waiting, and track recent updates without opening each file individually.

From here, you can also cancel the signing process for a document that you’ve already sent by clicking on the void a sign request option. The document becomes invalid for signature, and recipients can no longer complete it.

Add signature

During my DocHub review, I found that it lets you create and store multiple signatures and initials, which matters if you sign documents in different capacities or manage more than one entity. You can add and manage them under Settings → Signatures, but what I liked is that you don’t have to leave your workflow. You can also create a new signature directly while preparing a document.

The standard options are there: draw your signature, upload an image, or simply type it. There is no built-in stamp option, which some businesses might miss, especially if they rely on official company stamps.

What really stood out to me was the QR code option that lets you use your phone as a signature pad. You scan the code, sign on your phone, refresh the document page from which you scanned the code, and it will appear instantly in the document.

The whole process took me just a few seconds. To me, it felt much more natural than signing with a mouse or trackpad. I have tested quite a few e-sign apps before my DocHub review, and this is the first time I have seen that option.

Preparing documents

As I mentioned, you don’t have to create your signature in advance; you can add it directly while preparing documents.

You can upload documents from almost any tab, and you’re not limited to just one file at a time. Files can be imported from your computer, Dropbox, Google Drive, OneDrive, or Box, or you can start from a blank document.

If you upload multiple files, you can either keep them as separate documents or merge them into a single envelope. This is useful when you want several files to be signed as part of one signing process.

Once uploaded, you move into the editor to prepare the document. DocHub advertises its ability to edit documents, but in practice, this works more like annotation-style editing rather than full PDF text editing.

You can add text, insert fields, highlight, underline, and use the whiteout tool to cover existing content. However, you cannot directly rewrite the original document text the way you can in some tools like Xodo Sign. So if someone expects native text editing, DocHub can feel a bit limited here.

The available fields cover the basics: text, paragraph, checkbox, image, attachment, signature, date, etc. There is no option to create custom fields, but each field can be adjusted individually. You can mark fields as required or optional and assign them to specific recipients.

Recipients can also be added later when you’re ready to send the document. At that stage, you can define permissions such as who can sign, annotate, receive a final copy, require verification, or sign in person. You can also set reminders and write a custom email message for the signature request.

In addition to sending documents for signature, DocHub allows you to email them as attachments or send them via fax. Overall, the process of adding, preparing, and sending documents felt straightforward and easy to follow in the course of my DocHub review.

Templates

If you prepare a document that you plan to reuse, you can save it as a template directly from the editor. This part is straightforward and practical.

Instead of rebuilding the same agreement or form from scratch, you can turn it into a reusable template and speed up future workflows. These templates are stored inside your account and can be reused whenever needed.

Audit Trail

DocHub does not offer a dedicated reporting or analytics dashboard, but it does provide an audit trail for signed documents.

Each document includes a detailed activity log that records key actions such as when it was sent, viewed, signed, or modified. You can also download the audit trail, which can be useful for compliance purposes or internal record-keeping.

While this is not the same as having advanced reporting or performance analytics, the audit trail adds a layer of transparency and accountability to the signing process. For most small teams and freelancers, this level of tracking will likely be sufficient.

Team Collaboration

Beyond the personal dashboard, DocHub also allows you to create and manage an organization.

From the organization’s view, you can invite multiple users, assign roles, and manage visibility settings. Roles such as Owner or Content Manager define what each member can access and control. You can also adjust document visibility to add a layer of privacy when it’s needed.

In the People tab you can see who is part of the organization, their role, and their status. You can easily invite new users and set permissions.

Another interesting new feature is Rooms, which appears to be designed for shared document spaces. However, this feature is only available on the Pro plan.

Overall, DocHub’s collaboration tools are not very complex, but they cover the essentials. For small teams that need basic role management and shared access to documents, the setup is practical and easy to manage.

AI Assistant

DocHub also includes an AI Assistant designed to help with document-related tasks. The feature is built into the editor and aims to help with summarizing and modifying documents, providing technical support, and more.

I’ll admit, I didn’t expect much from it at first. In many tools, AI features feel more like marketing additions than something you actually use.

However, during my DocHub review, it genuinely surprised me. I used it to help with a few technical support-related questions, to rewrite sections of legal documents, and even to draft parts of new documents. It proved to be more useful than I initially anticipated.

User interface

At first glance, DocHub’s interface seems clean and well-structured. The layout is modern, the main navigation is clearly organized on the left sidebar, and core actions like uploading documents or sending sign requests are easy to locate.

Integrations

DocHub is often praised for its seamless integration with Google Workspace, making it a preferred choice for users within that ecosystem.

You can install DocHub’s native add-ons directly from the Google Workspace Marketplace.

The Google Drive integration allows you to right-click on a file and open it in DocHub without downloading it first. From there, you can edit, add fields, and sign documents directly inside your browser, then save the updated version back to Drive.

The Gmail add-on works in a similar way. You can open attachments directly from your inbox, import them into DocHub, edit, and sign them.

But it provides more. Beyond Google Workspace, DocHub also connects with major cloud storage services like Dropbox, OneDrive, and Box.

DocHub offers a free plan and a generous 30-day free trial on its paid plans.  

The Free plan includes limited PDF editing (3 documents per month), up to 5 eSignatures per month, limited access to the AI Assistant, and mobile app support. It’s suitable for occasional use, but the document and signature limits are restrictive.

The Basic plan is $8 per month. It includes advanced PDF tools, fillable PDFs, reusable templates, document folders, and small team collaboration features. This plan is more practical for freelancers or small businesses that need consistent document workflows.

The Pro plan removes most limitations. It includes unlimited eSignatures, unlimited PDF editing, unlimited envelopes, extended AI Assistant access, bulk send, in-person signing, and secure document storage. For most regular business users, this is likely the most balanced option. It’s priced at $12 per month.

Finally, the Site License plan is custom-priced and includes unlimited users, SSO, HIPAA support, priority support, organization management, password protection, and volume discounts. This plan is clearly designed for larger organizations with compliance or enterprise requirements.

What is SignNow?

SignNow (by airSlate) is an e-signature platform built for sending, signing, and managing documents online.

You can upload PDFs or create reusable templates, add fields like signatures, initials, dates, and checkboxes, and then send documents out for legally binding e-signatures.

Beyond basic signing, SignNow focuses on team workflows and scalability. It includes tools like shared templates, signing orders, document tracking, and options for bulk sending and role-based fields, which makes it a practical pick for businesses that handle repeated paperwork.

My real-world experience with SignNow

My experience with SignNow was very positive overall. It is not the most visually polished e-sign tool I have used, but it is fast, practical, and easy to work with.

Most steps are quick and easy to find, from uploading documents to preparing fields, adding recipients, and sending invites. It saved me time in a few places too, especially with automatic field placement and the option to schedule invites.

After testing 10+ eSign apps, I found it to be one of the best Docusign alternatives.

What led to SignNow’s 4.5 / 5 rating

SignNow achieved one of the highest scores in the e-signature category in our testing methodology. It offers a massive feature set that strikes a balance between power and simplicity.

Furthermore, SignNow performed outstandingly across other categories and only fell short in our test of its free plan.

Dashboard

In the course of my SignNow review, I realized it doesn’t have a traditional dashboard. Instead, the home screen opens on the Documents page. The main area is basically a working list of your files.

From here, you can quickly see your documents and their status, and you also get practical filters. I liked that it’s very action-first: every document has quick buttons like Invite to Sign, Create Invite Link, or Make Template, so you can start the signing process right away.

It’s also easy to keep things organized. You can create folders and group documents, which is a lifesaver if you’re working with a lot of files and clients. And in general, most things you’ll want to do are one click away from this screen.

Add signature

SignNow keeps your personal signing details inside Settings → User Profile. That’s where you can add necessary data like your name, address, but also your signature, initials, and a stamp.

Unlike most other digital signature tools, SignNow lets you save multiple electronic & digital signatures, initials, and stamps. This option adds flexibility if you use different versions for different document types.

When it comes to creating your signature, you have the standard options: you can type it, draw it, or pick one of the pre-made styles. It’s quick to set up, and once it’s saved, you can insert it into documents in a couple of clicks.

You also don’t have to set it up in advance, since SignNow lets you create your signature and initials while you are signing or preparing a document.

Preparing documents

To get a document signed, you can upload a file from your device, import it via URL, pull it from cloud storage, or choose one from the Forms Library. You can also add files in bulk, and creating documents is simple.

The Forms Library is fairly large, with thousands of templates (including legal, labor, and tax forms). You can edit templates, fill them out, or send them right away. You can also save any uploaded document as a template or create one from scratch.

After uploading, you can add recipients by entering their email addresses or selecting them from your contacts. SignNow lets you add multiple recipients, assign different roles (like signer or approver), and include CC recipients. You can also edit the recipient list later and set the signing order.

Once that part is done, the editor opens. Here, you choose the recipient you want to assign fields to, then drag and drop the fields directly onto the document. You get all the standard options (full name, text, date, time, signature, stamp, etc.), but you can also create custom fields and even import fields from other documents.

One feature that genuinely saved me time was the automatic field placement. SignNow can suggest and place fields for you, and in my testing it worked well most of the time. It was not perfect, but it usually got the structure right and only missed a few fields occasionally.

One useful addition is the ability to insert an invoice module directly inside the editor. You can add invoice-specific fields such as item name, price, quantity, tax, discount, subtotal, and even select the invoice currency.

This makes SignNow more than just a basic e-sign tool, especially if you need to send simple invoices together with signing requests.

After preparing documents, you can preview them and then move to the final sending step. From there, you can set reminders and expiration dates, add a payment request, write a custom message, and choose how to send the document (email, SMS, or signing link).

A very nice touch is that you can schedule the invite by picking the exact date and time when it will be sent.

You can also apply branding and adjust what happens after completion. I also liked that SignNow shows a practical preview and lets you switch the view by recipient, which makes it easier to double-check that each person sees the right fields.

Overall, I found that during my SignNow review, the whole process is straightforward, fast, and easy to follow.

Contacts

SignNow has a built-in Contacts section, and it is more useful than a basic email list. The minimum you need to save a contact is an email address, which is great for quick setup, but you can add much more later (first and last name, phone, company info, job title, full address, and a short description).

I also liked that SignNow supports bulk contact import via CSV, as long as the file includes email addresses. If you already have a client list, this saves a lot of manual work. You can also import contacts from Google, which makes setup even faster if your workflow already lives in Google tools.

Once you open a contact, SignNow shows a full contact profile with tabs for All Activity, Documents, and Notes, so you can track what was sent to that person and what is still pending without jumping back to the main Documents page.

Another useful detail is contact-level collaboration. You can share a contact with teammates and choose access permissions like Can View or Can Edit and Send. That makes the Contacts section more like a lightweight CRM layer inside SignNow.

Team management

I noticed that throughout my SignNow review, it also offers solid team collaboration features. It looks genuinely useful if multiple users handle contracts in the same workflow. Instead of everyone working from separate personal folders, you can create a team, invite members, and use shared spaces for documents and templates.

What makes it more practical is that it includes admin-level controls, not just shared access. Admins can manage members, add another team admin, remove users, track documents, and even transfer document ownership when needed.

I did not test this part deeply in my own documents signing workflow, but from what SignNow shows, it is clearly built for teams that need structure and oversight, not just basic e-signing.

Reports

SignNow’s Reports section is surprisingly solid, and it provides more than a simple “signed / not signed” view. It gives you a clear overview of document activity across the workspace, including sent, pending, completed, and expired items, along with sender and recipient details.

What I liked here is that reporting is separated into a few layers. You get a Workspace Analytics view for quick performance metrics (like sent invites, completion rate, completion time, templates created, and documents created), a Leaderboard view for team/member performance, and then more detailed report tables for documents and templates.

The detailed reports are the most practical part for day-to-day tracking. You can filter by date, apply filters, sort the data, and export reports. In the documents report, for example, you can see document names, status, sender, recipient email, and sent date/time in one place.

Other features

SignNow also has a few extra features that are worth mentioning because they can matter in real business workflows.

One is branding: you can customize signature invites and emails with your company branding (logo, and even branded email styling/footer options), which helps if you want client-facing documents to look more professional and consistent. However, this feature is available only on higher-tier plans.

Another one is fax support, which is a niche but still relevant in some industries. SignNow supports fax-related sending workflows (including from document groups), so if you still deal with partners or institutions that rely on fax, you can handle that inside the same document process.

There is also notarization. I did not test this myself, but SignNow offers remote notary/notarization workflows. That will not matter for every team, but it is a strong extra if your documents require notarization.

User interface

As I already mentioned, SignNow is action-first based. The interface is minimal and focused on actions rather than visuals. It is intuitive and user-friendly, which makes it easy and fast to move around.

Integrations

SignNow offers a good range of integration options. You can connect it with tools across cloud storage, productivity, and business workflows, including options like Google Workspace, Salesforce, HubSpot, NetSuite, Gmail, and Excel.

It also offers API access and a sandbox environment, which is a big plus if you want to build custom workflows or connect SignNow to your internal systems.

It also integrates with Zapier, which gives you access to thousands of third-party apps that are not covered by its native integrations.

SignNow does not offer a free plan, but it does offer a 7-day free trial.

After the trial, you can choose between four paid plans.

The Business Plan, at $8/user/month with annual billing, is best for basic e-sign workflows. It includes core document signing, required fields, unlimited templates, mobile app access, multiple languages, and cloud storage integrations.

For teams, there’s The Business Premium Plan that adds bulk sending, signing link invites, document groups, reminders/notifications, and payment requests. It costs $15/user/month, billed annually.

The Enterprise Plan is aimed at larger organizations as it adds more advanced controls like advanced threat protection, signer attachments, conditional documents/fields, and smart fillable fields. It’s $30/user/month with annual billing.

There is also a Site License plan priced at $1.50 per signature invite, which is the pricing model tied to SignNow’s “unlimited users” positioning. Instead of paying per seat, you pay per signature invite, and you get the extras like full API access, CRM/ERP integrations, and stronger compliance options.

One very important thing to keep in mind is that, while SignNow allows unlimited users, it comes with a limit of 100 eSignature invites per year. After that, the service switches to a pay-as-you-go model.
